PERSONAL INFORMATION MANAGEMENT SYSTEM (PIMS)
1. WHAT IS PIMS:
PIMS is a program that allows the user to maintain a
database of information for names, addresses and phone
numbers. It will produce MAILING LABELS and an 8" x
11" TELEPHONE ROSTER.
2. WHO CAN USE THIS SOFTWARE:
ANYONE. Ideal for use by a salesperson, executive,
families, churches, athletic events, organizations and
business mass mailing or any requirement you have for
maintaining names, addresses, telephone numbers, and
desiring output of rosters and mailing labels.
3. WHAT DOES THIS PROGRAM DO:
The purpose of PIMS is to provide
software that is easy and simple to use, that will
afford the user a system to create and maintain name,
address and telephone information in alphabetical
order by last name. Additionally the system has a
capability to make extensive remarks for each record
in the built in word processor. Currently the remarks
are for on line use only. The system will provide a
telephone and address report, and MAILING LABELS. It
also gives the user to print as many labels for one
entry as desired.
4. HOW DOES IT WORK:
IT DOES NOT REQUIRE ANY SOFTWARE FOR OPERATION.
PIMS software is a compiled series of programs.
FLOPPY DISK USERS:
Make a copy of your PIMS master and put it in a safe
place. Use your copy of PIMS for daily operations.
For operations, simply slide the PIMS disk in your
floppy disk drive and type the word "PIMS" at the DOS
prompt. The program automatically loads itself. Don't
type the quotes. Each time you load PIMS the default
directory 'person.dbf' will be activated. If you
desire another file then select files on the main menu
and confirm get. This will give you access to the
file library.
HARD DRIVE USERS:
For hard disk users, create or use an existing
directory. With the prompt and directory on the hard
drive, place the floppy disk containing the programs
in floppy drive 'A', and type "copy a:*.*" (without
quotes). In a few short moments PIMS is on your hard
disk. To execute the program type PIMS.
The entire program is operated by the user moving a
"bar" on the menu selection or the desired individual
to delete, edit, or add comments to. The ONLY
information the USER must "TYPE IN" is the initial
information. It is easy to use, and will be a
tremendous asset to the management of telephone and
address listing, and creating mailing labels. Now what
could be easier than that.
5. WHAT ARE THE CAPABILITIES:
The number of entries that can be entered in
the database is only limited by the size of the disk
that you use. Obviously a hard drive will give a
greater capability for database expansion than a
floppy drive. For a floppy drive, the execution
program consumes approximately 250K, thus leaving 110k
for the databases. Certainly enough space for
personal, small businesses, or organizational use.
When you run out of space, just start a new floppy by
copying the execution files, and the person.dbf and
person.dbt file and you are ready to go.
Want to make notes for reminding you about
special dates or a client's special needs? PIMS allows
you to make extensive notes on an individual record.
On line use only. Keeps those personal notes
confidential.
Because the software can be used on a floppy
and is super efficient, it will allow you to take it
with you wherever you go, and use it on anyones' IBM
compatible machine. Use it at work, take it home to
update it, and then update you database at the office.
6. WHAT TYPE OF MACHINE WILL OPERATE THE PIMS:
The software will operate on an IBM or IBM
clone machine, or any machine that uses DOS. The
printer does not present a problem. Usually any
printer that is compatible with Epson will work. I
have a Tandy daisy wheel printer and it works
perfectly.
7. WHAT WILL YOU LIKE MOST ABOUT IT:
If you have ever printed mailing labels you
know what a job it is trying to get the labels aligned
so all the information fits on the labels, without
wasting them. Trying to "fight" with the printer and
make it stop after you made a mistake can be a
frustrating experience. This program allows you to
make as many tests as you desire (one at a time using
x's) until the label informaion is aligned to your
satisfaction. Prompts will also help you align the
labels prior to printing. Certainly meets the
standard of being "user friendly".
Also, anticipating that users will make
mistakes while using the program, 'escapes' are built
in to the program to allow users to return to the main
menu "gracefully" and problem free. You'll grow to
like this program after using it, for sure.
8. ENHANCEMENTS FOR HARD DRIVE USERS:
One feature for hard drive users that will
prove invaluable, is a utility menu that allows the
user to copy the PIMS database to drive 'A' or 'B'
with a touch of a key. It gives you an opportunity to
save the file your working on without leaving the
program. An additional capability that users marvel
at is the capability to format a floppy disk in drive
'A' without leaving PIMS. Users must have an active
path to DOS executed in the autoexec.bat file, or any
other method preferred for a path to DOS, for the
format function to operate. Don't worry, if you
aren't sure that the disk is formatted, you can easily
escape from the formatting option, without damaging
the information on your disk.
9. LEVEL OF TRAINING TO OPERATE PIMS:
NONE. You will be surprised at how easy it
is to learn. All you need to do is type PIMS at the
prompt, and away you go. Operating the program is
extremely "user friendly" to the extent that you will
enjoy using it, and it will make you feel for once
that "YOU ARE IN CONTROL". Even administrative
personnel or family members will find this program
easy to use. Certainly an inducement to overcome the
fear of the computer.
10. UPGRADES:
I intend to make upgrades to the program to
enhance its capabilities for more flexible use by all
who purchase this program. If you provide your name
address and phone number on the form provided in the
rear of these instructions and mail it to me, I will
be more than happy to notify you of any upgrades.
Normally a small fee will be charged to cover the cost
of the upgrade, disk, postage and handling.
11. MODIFICATIONS:
I will gladly modify the program to meet the
needs of your business, organization, or personal use.
You will find the charge reasonable, competitive and
within reach of any budget.

12. FILE LIBRARY:
The file library allows the user to archive
files and use multiple databases with the PIMS. This
is of great use to someone who wants to develop and
maintain several categories of address and telephone
information. Once taken from the library, you can use
the same activities that you did when you created the
database of information.
Save:
The save option allows the user to
store the current file with a user created file name.
Then the file is archived in the library until you
need it. The on-line working file (person.dbf) is
then prepared to start with new records (the on-line
file is empty as the previous information was placed
in the new file you created and stored in the
library). It is advisable to create a file name that
will allow you to remember what is in the file.
Get:
The get option allows the user to
retrieve a file from the library and put it in active
operation without interfering with the on-line working
file. As the desired file is retrieved from the
library, the current working file is placed into the
library until you tell the system to return it to the
on-line file (using the REACTIVATE option on the
archive utility menu). Once the desired file is
on-line, you use the same functions as you did before.
Reactivate:
The reactivate option allows the
user to return the archived file to the library, and
the previous current working file is then
automatically returned to the system.

File Description:
READ.ME - The file you are now reading.
PIMS12.EXE - The execution file for the program.
PERSON.DBF - The default database.
PERSON.DBT - The word processor default file.
INSTALL.BAT - Automatic Installation program for C drive.
PRINTOUT.BAT - Will print out this file to printer >LPT1
PIMS12.exe is the update to the program. After it is installed on the hard
disk it will be renamed pims.exe. PIMS12.exe will remain intact on the floppy.
Easier keystrokes to type PIMS than PIMS12.
