TITLE : Printing mailing labels on a HP LaserJet
This Technical Information Sheet is designed to inform Paradox
users how they can successfully create a report to generate
mailing labels from their Paradox tables. This document
concentrates mainly on printing labels using a Hewlett Packard
LaserJet printer or compatible. It also assumes that you are
using a stock of printing labels specifically designed for use
with laser printers. The examples presented within this document
illustrate how to set up a standard address mailing label that
contains the following fields: First Name, Last Name, Address,
City, State and Zipcode.
When you are ready to make your report to generate labels, you
need to create a free-form report. From the Main menu of Paradox
select Report | Design| <TableName> | <Report #> | <Report
Description> | Free-Form. What you will have at this point is a
standard free-form report. A free-form report is separated into
five areas; Report Header, Page Header, Form Band, Page Footer,
and Report Footer, as shown in the example below (the ruler only
extends to 60 characters for formatting purposes):

When printing labels, you are only interested in the Form Band.
All other areas should be completely empty, with no blank lines.
To remove the lines from these areas, position the cursor on the
far left side of the line you wish to remove and press <Ctrl-Y>.
The line will then be deleted. Repeat this process to remove all
lines from the Report Header, Page Header, Page Footer, and
Report Footer. Once you have done this, press <Ctrl-V> to
activate the vertical ruler on the left side of the report. Use
this to match what you have against the following diagram (the
number of lines in the Form Band may vary).

The next step is to set the number of lines that appear within
the Form Band. This is done to make sure that the labels are
spaced correctly when you print them. To figure out how many
lines are needed, measure your labels, in inches, from the TOP of
the first row of labels to the TOP of the second row of labels,
including any blank space between the labels. Now multiply the
number of inches by six and that will be the number of lines
needed in the Form Band.
NOTICE: If after multiplying by six you do not get a whole number
of lines, multiply by eight instead, and use the Setup String for
eight lines per inch listed at the end of this document in
Appendix B.
Once you have calculated the proper number of lines, set your
report up so the number of lines you calculated appears BETWEEN
the two Form lines. For example, if you are using a 1 1/3"

label, you would calculate that you need to have eight lines
BETWEEN the two Form lines. Your report would look something

After setting the proper number of lines for the Form Band, you
now need to set the proper width. To figure this out, measure
your labels from the LEFT side of the first column of labels to
the LEFT side of the second column of labels, including any blank
space between them. If you have only a single column of labels,
simply measure the width of the labels. Next, multiply the
number of inches you measured across by ten to determine the
proper width for your labels.
NOTICE: If you are planning on using a compressed font for these
labels, multiply the number of inches by 16.66 instead (some
rounding may be necessary), and use the compressed font Setup
String listed at the end of this document in Appendix B.
Once you have calculated the width, press F10 and choose Setting
| PageLayout | Width, and set the width to the number you
calculated. For example, if your label is four inches across,
and you are going to use a standard font (10 characters per
inch), use 40 as the width. Once you have entered the width,
press Return. After setting the width you may see the Page Width
Marker (a vertical line that goes through your report) move left
to display the width of your labels.

The next step is to set the proper number of columns of labels
that you are using. In Paradox this is done by setting the
number of Page Widths in your report equal to the number of
columns of labels on your paper. To determine how many Page
Widths are currently set, you will need to look at the Page Width
indicator on your screen. In version 4.0, the indicator is in
the lower left corner of your report window, and is given as two
numbers with a colon ":" between them. The first number is the
current Page Width and the second number is the total Page
Widths. In versions of Paradox prior to Paradox 4.0, the
indicator appears as a fraction in the upper right corner of your
screen. The top number indicates your current Page Width, while
the bottom number gives you the total Page Widths. You always
want the current Page Width to be 1, and the total Page Widths to
equal the number of columns of labels on your paper.
To adjust the total number of Page Widths press F10 and choose
Settings | PageLayout and then Insert to increase the number of
Page Widths by one, or Delete to decrease the number of Page
Widths by one.
After setting the number of Page Widths, press F10 and choose
Settings | PageLayout | Length. This should be set to "C" for
continuous (do not actually type in the quotation marks) and
press Return. Then press F10 and choose Settings | Labels | Yes
to set for labels. Next, pick the proper Setup String from the
list in Appendix B at the end of this document. Then press F10
and choose Settings | Setup | Custom, choose your printer port,
then type in the Setup String, Reset String, and press Return (if
you using version 3.5 or earlier, you will not have the Reset
String option).
Now you are ready to arrange your fields in the report the way
you want them to appear on your labels. While doing this
remember the following:
- Keep the number of lines within the Form Band constant at
the number you calculated earlier.
- Only work inside the first Page Width. All other Page
Widths should be blank. Also do not allow your label
design to spill over into the other Page Widths.

- You may want to group your labels so they are sorted
according to particular fields (i.e. Lastname or Zipcode).
- You may want to use the Line Squeeze and/or Field Squeeze
features in your report. If you set up your labels to do
Line Squeeze, make sure you use the "Fixed" option instead
of "Variable".
For additional information on using Groups, Line Squeeze and/or
Field Squeeze, refer to Chapter 8 of the Paradox User's Guide
(for version 3.5 or earlier, refer to the Presenting Data
manual).
Below is an example of a free-form report for mailing labels that
are two across and one inch in height. It illustrates how a
free-form report could look after re-arranging the fields,
removing the field titles and performing the procedures that are
outlined above (the vertical line represents the Page Width
separator). The ruler below only extends to 60 characters for
formatting purposes.

Once this is all set up, you are ready to print your labels! You
may find that on the first few printings that you need to make
some adjustments to the report to get things just right. It is
recommended that before actually printing on the labels that you
use regular paper to make sure everything looks and lines up all
right. At the end of this document is a list of common problems
people face when printing labels, and suggestions on how to fix
these problems. Please refer to this section if you are having

APPENDIX C: Common Q&A on Labels.
1. Q: Why does Paradox appear to be skipping over some of my
labels?
A: In the design of your labels report you have given
Paradox more Page Widths than you have columns of labels.
2. Q: Why does Paradox skip the bottom row of labels on each
page of labels?
A: This will happen if you don't have the Page Length in
Paradox set to "C" for continuous. Make sure you do have
it set this way and that you are using the appropriate
Setup String.
3. Q: Why do I get a blank sheet of paper, or only a few
lines of print when I use a Range Output to print my
labels?
A: This is because we have set Page Length to Continuous.
When you do this in a Paradox report Range Output becomes
the number of LINES to be printed, not the number of
pages. If you wish to specify a subset of labels to
print, use a query to retrieve the labels to be printed,
and then copy the report to the Answer table.
4. Q: Why doesn't my Setup String work?
A: If the Setup String does not seem to work, it is
probably entered incorrectly. A sure way to tell is if
the Setup String appears on the paper. If this is the
case, then the string is incorrect. Check the report
against the Setup String listing in Appendix B, and make
sure it is entered exactly as it appears in this document.
