DEFINITION OF SHAREWARE
Shareware distribution gives users a chance to try software
before buying it. If you try a Shareware program and continue
using it, you are expected to register.
Copyright laws apply to both Shareware and commercial software,
and the copyright holder retains all rights, with a few specific
exceptions as stated below. Shareware authors are accomplished
programmers, just like commercial authors, and the programs are
of comparable quality. (In both cases, there are good programs
and bad ones!) The main difference is in the method of
Shareware is a distribution method, not a type of software. You
should find software that suits your needs and pocketbook,
whether it's commercial or Shareware. The Shareware system makes
fitting your needs easier, because you can try before you buy.
And because the overhead is low, prices are low also. Shareware
has the ultimate money-back guarantee -- if you don't use the
product, you don't pay for it.
TIME LORD is a "shareware program" and is provided at no charge
to the user for evaluation. Feel free to share it with your
friends, but please do not give it away altered or as part of
another system. The essence of "user-supported" software is to
provide personal computer users with quality software without
high prices, and yet to provide incentive for programmers to
continue to develop new products. If you find this program
useful and that you continue to use TIME LORD after the 30
day evaluation period you must become a registered user.
Registered users will automatically receive a copy of the latest
version, a Utilities Pack (which allows file rebuilding, data
import/export, backup/restore of data files and various reports),
telephone support, printed manual and a Memory Resident Module
which will allow the Contacts Database to be "popped up" over
other programs (in text mode) and also permits the Reminders
facility to operate in the background while other applications
are being used. In addition, registered users are circularised
with details of new versions as they become available.
You are encouraged to pass a copy of the shareware version
(NOT the registered version) along to your friends for them
to try out.
To become a registered user of TIME LORD send a cheque or money
order for £39 made payable to Sterling Data Services, 2 Fairford
Road, Tilehurst, Reading RG3 6QB. You can use the supplied form
for this, to print it out : COPY REGISTER.DOC PRN Or phone
with your ACCESS/VISA card details.
If you have any queries, suggestions for improvement etc please
phone me on 0734 427333 or leave a message on CIX (mmc) or

USER'S MANUAL
INTRODUCTION
============
TIME LORD is intended to be used as a tool for controlling your
time more efficiently. All your business and personal contacts
can be stored and referenced in a variety of ways. Notes of phone
calls or other contacts can be store and linked in with particular
records in a type of "rolodex" name and address book. The various
desktop accessories like time planner, To Do List etc are shown
in the accessories sub-menu off the main menu.
System Requirements:
To run this software you will need an IBM PC, XT, AT, PS/2 or
compatible with a minimum of 640K of RAM, a hard disk and
MS-DOS 3.0 or higher.
Back Up Your Files, PLEASE:
Your data files SHOULD BE BACKED UP any time you've made
significant changes. A good rule of thumb is to back up your data
any time you've made more entries/changes than you'd want to type
in again. The registered version comes with a File Utility for
the easy backing up of files.
This software is completely menu driven and easy to operate. Since
the computer does all the hard work for you, this manual is short.
Most of the manual is also available as context-sensitive help
screens. Just press F1 anytime you are unsure what to do.
We'll describe how to enter information; what to do to edit
existing entries; and how to find the entry(s) you need.
If using a modem you are advised to try the settings as supplied
because they have been found to work with the vast majority of modems.
QUICK START
===========
This section describes how to use the basic functions of TIME LORD
so you can quickly get started. The software is completely menu
driven with prompts on every screen so it is easy to use.
To start the program type TL and press ENTER.
Page 1
Choose Option 1 from the Edit Contacts menu and a pick list of
contacts appears. INS will add a record, ENTER will pick one for
amending and DEL will delete. (INS refers to the insert key under the
numeric keypad on your keyboard)
Pressing F1 at each stage will explain what is happening.
A feature of the data entry screen is that speed is improved by the
use of picklists for four of the fields which pop-up when required.
There is a screen saver feature which ensures that if the program is
left for a user-defined period without a key being touched then your
monitor's screen will be blanked out. The screen image will be
restored as soon as any key is pressed. TLORD.EXE must be called with
a command line of V=0 for this work correctly. If you are using
password protection then you will need to enter the password to get
back into TIME LORD, once the screen has blanked.
UPDATING RECORDS
================
The number of records is limited only by the size of your hard disk.
Keys used on the update form:
CTRL_ENTER save any changes made and return
CTRL_ESC leave the update form without saving changes
ENTER move on to the net field
ESC back up a field (exits if on first field)
ALT_A view/create appointments and associated notes
ALT_C makes a copy of current record - then save by
the usual means of pressing CTRL_ENTER
ALT_D dial one of the phone numbers
ALT_F total/average the user defined fields
ALT_H hot key menu
ALT_N view/create notes
ALT_R reminders for just this contact
ALT_T telephone call timer
F2-F3 calendar/calculator
F4 appointments/time planner
F5 reminders
F6 diary
F7 to do list
F8 document database - ALL documents (see ALT_F8)
F9 summary of weekly activity
ALT_F3 calendar - year view
ALT_F4 puzzle
ALT_F8 document database - just this contact (see F8)
ALT_F9 What's On Today
Pressing PgUp or PgDn in the update form will take you into
BROWSE mode. Any changes should be saved first - CTRL_ENTER.
Page 2
Record number is a unique ID supplied by the program for each record.
It is used to link or "relate" all the various files together. Because
it is so viatl to the program's integrity it should not be modified
in any way.
Category code is selected from a pick-list. If a category you enter
cannot be found you can create it in the Utilities section.
AUTOMATIC FIRST LETTER CAPITALISATION in the name and address block can
be toggled on/off by using ALT and U. If '*' shows alongside the field
then AFLC is enabled for that field.
If the Title Field (Mr,Mrs etc) is left blank then TIME LORD will assume
that the record is a Company, in other words that the Name field is
a Business Name. If Title has something in it then the record will
be treated as Personal. This is important in the Labels section and
also for TLRES (when transferring data to underlying applications)
because the name & address "block" will then be built correctly, eg;
Title + Initials + Name.
UTILITIES **** SUPPLIED TO USERS WHEN THEY REGISTER ****
=========
BACKUP/RESTORE Provides an easy means to back up TIME LORD's
data files - you will be prompted for the number
of ready-formatted diskettes required.
PACK FILES : Deleted records are removed and data
files and indexes are made more
compact and efficient.
EXPORT/IMPORT DATA : Names, addresses, contacts etc can be
exported/imported to/from DBASE, DIF and
BASIC (CSV/ASCII) formats.
REBUILD KEYS: In the event of a hardware failure and
damage to a database's files use this.
REPORTS: Various reports are available with the use
of the Report Viewer including one with pocket-
organiser width output of name/address and relevant
notes.
BACKING UP DATA FILES
=====================
Regular backups should be made of the data files. All other
files can be installed from the master disks. It must be stressed that
all data files should be backed up and restored (if necessary) at the same
time. The File Utilities program is a separate executable called
BACKER.EXE. This can be run from the DOS prompt if necessary, although
the more normal way would be to choose the File Utilities option on
the Utilities Menu (Registered Version).
Page 3
SEARCHING & SELECTING
=====================
Text searches can be carried out on all the information stored - such
as notes, diary pages, reminders etc. Case is ignored. Diary pages
are stored on disk in encrypted form for confidentiality. Where text is
linked to a contact record you can have the option of selecting that
record on the basis of the text. Selected records are used for labels,
mail shots and reports. The number of currently selected records is
shown in the bottom right corner of the screen.
The selected records "sub-set" can also be browsed from the Edit Contacts
menu - choose the Selected Records option. On all of the Edit Contacts
picklists pressing ALT_Z will select/de-select the highlighted record.
An extremely powerful method of selecting contacts, especially when you
have a large number to work with, is to use the Conditional Selecting
option. As always, selcted records are shown on picklist by a symbol.
The field names that must be used (eg, NAME, CAT, USER1 etc) are shown
in the top part of the search screen. Important points to watch are:
1) Text (such as 'Reading' ) must be enclosed in ' '
'RE' IN TOWN
This will find all towns which have RE in the field somewhere
such as Reading, Redditch etc.
2) Date fields must be in the format dd/mm/yy
USER7 = 12/04/93
This will find each record that has 12 April 93 in User Field 7
3) You are left a note to call someone back but you are only
given the phone number
'1223456' IN PHONE
search string ---------- ---------------- field
|
operator
4) A "boolean" search involves the use of AND and OR and can
produce a range of records:
'0344' IN PHONE AND '0734' IN PHONE
This will pull out all records with a Bracknell or Reading STD code
Page 4
5) Fields can also be searched for comparisons:
TOWN = 'Thatcham' (text searches ignore upper/lower case)
Strings are compared to their length. For exaple if the
COUNTY field had 'ABcDEFg' in it, the expression COUNTY = 'AB'
would be a match.
Pressing F1 at the Searches screen will give more examples
TO DO LISTS
===========
These lists of tasks that need be doing provide a powerful means of
planning and scheduling your activities. A start and finish time can
set for each task and, if the task is not completed by the set finish
time, it will automatically be transferred to the Reminder List. This
automatic process can be turned off in Configuration, if desired. Each
task can have a Sub To Do List, which gives a break down of the component
tasks needed to achiev the main task. At each level a GANTT chart can
be generated and sent to screen/printer/disk. This chart will graphically
show the connections between tasks and their start/finish times. A
maximum of 12 weeks at a time can be shown. Weekends are shown by
right-facing arrows.
APPOINTMENT SCHEDULER
=====================
First you will be shown a screen with every Sunday in the year marked.
These dates are taken as the first day of the week and by moving the
cursor and pressing ENTER you will be shown that week. ALT_F will show
weekly summaries of time used and number of appointments.
If there are no appointments for the week the "Add an Appointment"
screen will be brought up. Press ESC if this is not needed.
A check will be made to see if an appointment overlaps with an existing
one. Appointments can be linked with a particular prospect - press F10
for a picklist of prospects - or left blank if "general", such as a visit
to the doctor etc. ALT_A in Edit Contacts will show a history of the
prospect's appointments. Pressing ALT_R while editing an appointment
will allow the Repeats to be re-done.
Page 5
ALT_P prints out a range of appointments, handy for carrying around.
There is the option to print just a one line summary for each day or
also the full notes.
F10 shows a graph of the free time for that week and also shows which
type of appointment (A,B etc) was scheduled. New appointment types
can be added while updating/adding an appointment - just press F10
at the appt. type field and then INS to add a new type or CTRL_ENTER
to change an existing one.
Pressing TAB toggles between a Week View or just the appointments for
the day that is highlighted when TAB is pressed. In day mode a mini-
time planner is shown at the bottom of the screen.
ALT_T will find the next free period - with allowance made for start/
finish times, length of appt. and type of day (working or any).
At the end of a day/week it is a good idea to go back and fill in the
appointment notes so that a permanent record is available of what
happened at the meeting.
IMPORTING DATA
==============
Importing data is more involved because of the need to "synchronise"
the field names, types and lengths.
Before starting have a look at the file format information on page 14
which shows the layout of the main database record. You should try
and ensure that the names or labels on the file that you want to
import correspond as far as possible with this layout. You must not use
a label called CUSTNUM - this has to be left blank so that Time lord
can allocate its own numbers. If you have existing customer numbers
that you want to keep put them in one of the user defined fields.
For the initial stages just follow the on screen prompts.
When the program stops you will be at the File Utility window and
should proceed as follows:
1) Press ENTER to accept TLORD.SRC
2) Type CONTACT2 for the label, then ENTER
3) For input file type TLTEMP.DAT then ENTER
*** IMPORTANT *** DO NOT USE "CONTACT2" here or your existing data will
be OVERWRITTEN
4) For output file : same as 3)
5) Line up fields so that they correspond using the cursor keys.
6) IMPORTANT: do not use the NAME field. Instead align your Surname or
Company Name field with BOTH NAME1 and NAME2. Time Lord's name field
is 40 characters but because the field is split into two parts for
speed of indexing the maximum length that can be imported is 33
characters. Anything over 33 characters will be ignored.
7) GO with CTRL_ENTER
8) ESC when finished.
Page 6
Pressing F1 help at any of the above stages will bring even more
detailed assistance.
BASIC files: the string delimiter is " and the field separator is ,
If you wish to change these then type CCVT at the DOS prompt and
follow the instructions. The first line should have the Field
Names as the "record". As an illustration of this type the following
at the DOS prompt while in the TIME LORD directory:
TYPE DEMOBAS.BAS
IMPORTANT: After importing you should go into the Update module
and look at each record. This will allow you to add the business
category.
STANDARD KEYS

ESC back up a field (quit if on first field)
CTRL_ESC abandon any changes and finish
Page 7
TEXT EDITOR
===========
Before using the Editor you should select (from the Utilities Menu)
which type of key layout you like. The two default layounts supplied
are a Wordperfect and a Wordstar emulation. You can redefine these
keys to another type of WP package that you are more familiar with,
if you like.
To specify the file you want to browse or edit you must supply the
path (eg; C:\TIMELORD) and the filename. The default paths you set
up in configuration can be inserted by pressing F10. If the file
cannot be found you will be asked if you want to create it. Press
ESC to leave the Text Editor - if you have made any changes to the file
you will be asked if you want to save them.
Linking text files to Contact Records can be a good way of associating
large amounts of information such as reports with the contact concerned.
This is done via the Document Database.
MEMORY RESIDENT MODULE (supplied to registered users)
======================
This module is a TSR which means that it stays in memory (about 40K
is needed) while other programs are running and allows the Reminders
to operate and "pop up" (in text mode) at the set time/date. Also
your contacts database can be browsed/searched while running other
software - full details are given on the A4 sheet entitled "Notes
on Using the Memory Resident Module" which is supplied to registered
users with the full TIME LORD package.
Page 8
WORDPERFECT INTERFACE
=====================
The Wordperfect submenu is obtained from the Reports menu
and before running WP or creating a merge file you must choose
configuration on this menu to set up the path and filename for
the word processor and also for where you want the secondary
merge file to be saved.
Outline for WP mergeing:
=======================
1) Go into WordPerfect
2) Type in the letter. Where you want merged TIME LORD data
to appear place the cursor and press SHIFT_F9, F and the
field number
3) Save letter
4) Press CTRL_F9 and 1 to start merge
5) Secondary merge filename is referred to above
The section called "Merge" in the WordPerfect manual gives
more detail on this process.
FORMAT OF MERGE FILE:
The following fields make up a merge file
Field
-----------| Padded out
1 Company Name or Title/Init/Surname | lines will be
2 Unit | inserted after
3 Street | postcode, if
4 Town | any field is
5 County | blank
6 Postcode ----------|
7 Salutation (uses Salutation 2 if filled in)
8 Yours faithfully or sincerely, depending on salutation
Fields 1 to 6 should be used as a block in the order shown above.
To get an idea of the fields used make up a test merge file with
say half-a-dozen records selected.
The rest of the contact fields follow - only fields 1 to 6 (above)
are "order sensitive".
Page 9
WORDSTAR INTERFACE
==================
The Wordstar submenu is obtained from the Reports menu
and before running WS or creating a merge file you must choose
configuration on this menu to set up the path and filename for
the word processor and also for where you want the secondary
merge file to be saved.
The section called "Merge" in the Wordstar manual gives
more detail on this process.
FORMAT OF MERGE FILE:
The following fields make up a merge file

Fields 1 to 6 should be used as a block in the order shown above.
To get an idea of the fields used make up a test merge file with
say half-a-dozen records selected.
The other contact record fields follow.
Page 10
DOCUMENT DATABASE
=================
Important text files that you have in various locations on your
hard disk can be conveniently brought together in the Document
Database section, which is accessible by pressing F8 in most
parts of the program.
The usual edit keys of INS (add), ENTER (change) and DEL (delete)
are applicable.
Linking a file to contacts is achieved by pressing F10 for a
picklist of the Contact Record numbers.
To view, search, bookmark etc a text file press ALT_V while the cursor
is on the desired file. ALT_E or ALT_C will bring up the Text
Editor.
If the message "File Not Found" appears the most likely causes
are:
1) You have mis-typed the filename of the text file. You can
check the spelling by changing to the directory where it
is stored and typing DIR/P
2) The path is not complete: it should be in the format
C:\BUSINESS\
Page 11
AUTO DIAL
=========
A Hayes-compatible modem is required to use this feature.
Please do not change the modem settings in Configuration unless
you are sure that they are the cause of any problem. These
settings (including the initialising string of blanks) have
been found to work on most modems. If you are on an older
pulse type of exchange you should change the string ATDT to ATDP
The optional prefix allows for the diversion of phone calls
to Mercury. To enable this for a particular number place the
cursor over that field and press F10 - a tick √ will appear to
signify that Mercury is being used. The cost code shown after a
phone number field will enable calls to be analysed (and charged
out if needs be) from your Mercury statement. The codes themselves
are user-definable in the Utilities Section.
Optional prefix 1 should contain 131,T for Mercury Dialling.
The comma is to pause the system while connections are being
made and the T ensures that the mode switches to Tone.
Put your PIN in the optional prefix 2 field. It will be shown
on screen as a series of * characters for security reasons.
Method 1 is the original one used in early versions. Method 2
uses the port addresses and a user defined Baud Rate. It has
been added so that as wide a range as possible of modems will
work with TIME LORD.
Page 12
REPORTS (Supplied with Utilites Pack to registered users)
=======
A report can be sent to screen, printer or file. If viewed on
the screen there are special features available such as Searching.
Locking Rows/Columns, Bookmarks etc. (see further on)
Types of report available:
*** Records in alphabetic order - a single line or full details
*** "Filofax-width" output. Name/address, phone number etc together
with notes as far back as a user-defined date.
Narrow format printing suited to Personal
Organiser page widths. Only "selected" records are printed.
See Make a Selection on Main Menu.
REPORT VIEWER FEATURES
======================
The following is a list of features along with their key
assignments:
BACKGROUND READING
The viewer simultaneously scans a file and polls the keyboard to see
if the user typed anything. This eliminates the wait time sometimes
required before you can begin viewing the file.
The status bar will indicate either '*Reading*' or '*Done*'. You
can perform any command regardless of what state the viewer is in.
The only thing to keep in mind is that '*Reading' indicates the file
has only been partly read in. For example, a text search may
indicate that the text was not found, when in fact it's in a portion
of the file that has not been read in yet.
For all but very large files, the '*Reading*' phase is over almost
instantaneously.
Two keys can be used to control this process:
The <F9> key temporarily suspends background reading.
The <F10> key resumes background reading.
Page 13
READING LARGE FILES
The viewer requires only 4K of RAM for every 1,000 file lines.
Depending on free memory and file line size, files up to several
megabytes in size may be read. If the viewer should run out of RAM,
it simply stops reading the file and displays '*Out of Memory*' on
the status line. You can still continue to view the portion of file
that was read.
TEXT SEARCH
Pressing the <Alt-S> key prompts for a search string and scans the
file from the beginning for the first occurrence of the string.
The search is case insensitive.
Pressing the <F3> key searches for subsequent occurrences of
the string, starting immediately after the last match.
If the cursor bar is active, it is placed on the matching line. The
line containing the last search match remains highlighted until the
next search operation.
LOCKING ROW AND COLUMN TITLES
Pressing <Alt-C> will allow you to select a range of column titles
to lock. Extend the highlighted area using the <Up> and <Down>
arrow keys and press <Enter> when done. The text in the highlighted
area will remain fixed in position as you page through the file, but
scroll horizontally when necessary. Pressing <Alt-C> a second time
unlocks the titles.
Pressing <Alt-R> performs a similar function for row titles. Use
the <Right> and <Left> arrow keys and/or the <Tab> and <Shift-Tab>
keys to extend the highlight and press <Enter> when done. The text
in the highlighted area will remain fixed when scrolling
horizontally, but scroll vertically when necessary. Pressing
<Alt-R> a second time unlocks the titles.
Both row and column titles may be locked simultaneously.
Page 14
BOOKMARKS
A bookmark allows you to "remember" your place in the file. Up to 9
bookmarks, labeled '1' thru '9' may be set.
To set a bookmark at the current location, press <Alt-B> and enter
the number of the bookmark you wish to set.
To jump to a remembered book mark, press the number key (1-9)
corresponding to the bookmark.
To set a bookmark at the current location and jump to the previous
bookmark location, hold <Alt> key down and press a number key (1-9).
This allows you to toggle between two locations.
STATUS BAR
The status bar shows the current line, the total number of lines in
the file, the current column offset, the current file read status,
and the amount of free memory.
CURSOR BAR
The cursor bar may toggled on/off by pressing the <Enter> key. When
the cursor bar is turned off, the current line indicator on the
status bar will display the line number of the first screen line.
Pressing <Scrl-Lock> will lock the cursor bar at the current
position.
PAGE BREAK INDICATOR
Page breaks (ASCII FormFeed 12) are displayed as a crosshatch line
separating one page from another. They indicate where the pages
will break when when the file is printed.
PAGE JUMPS
The <F7> key moves you to a particular printer page. Printer pages
are defined as above.
The <F8> key moves you to a particular screen page. Screen pages
are 24 lines long.
MOVEMENT KEYS
The <Left> and <Right> arrow keys scroll the display horizontally by
10 columns. Pressing <Ctrl-Left> and <Ctrl-Right> scrolls
horizontally by 40 columns. Pressing <Home> will scroll back to the
first column.
Pressing <PgDn> the first time moves the cursor bar to the bottom of
the screen. Subsequent presses scroll the display down one page.
