- The Filing Cabinet Utility for CIM for OS/2 allows you to perform backup and
- maintenance on CIM's filing cabinet.
-
- The icon shown immediately above allows you to store notes about the Filing
- Cabinet Utility. To access the notes feature, simply double click the notes
- icon when it is displayed at the bottom of a help panel. The first time you
- save notes, you will be prompted to associate a filetype with your notes.
- Simply select Plain Text.

- The notes feature uses the OS/2 E Editor. For more information on using the E
- Editor, consult your OS/2 user documentation.

- To backup the contents of a filing cabinet, select the Backup option from the
- File pulldown menu.

- A dialog will be displayed that allows you to select the source directory and
- destination file. If the defaults displayed by the utility are not correct,
- enter the correct path to your current filing cabinet directory (normally
- C:\CSERVE\FCABINET) in the Source field and the destination directory and
- filename in the Target field. When satisfied with your options, click the Begin
- button to initiate the backup.

- Selecting this option will cause a summary of your Backup operation to be
- written to a text file. You may find it useful to examine this file should your
- Backup operation result in warnings or errors. The summary will report all
- records from your filing cabinet not written to the backup file.

- Transactions are logged to FCUTIL.LOG in the same directory as the filing
- cabinet you have selected for backup.

- This option can be selected from the Filing Cabinet Backup dialog.

- ΓòÉΓòÉΓòÉ 2.2. Delete Records ΓòÉΓòÉΓòÉ

- You can choose to have records deleted from your filing cabinet as they get
- backed up. This option is especially useful for archiving old records that you
- don't want to lose but don't want cluttering your filing cabinet.

- If you have chosen this option the Filing Cabinet Utility will delete from the
- filing cabinet only after a record has been successfully processed. If you
- cancel the backup or if the backup terminates prematurely due to errors, please
- be aware that the records which were saved no longer exist in your filing
- cabinet,

- The Filing Cabinet Utility gives you the opportunity to select the type of
- backup you would like to perform. The options available are :
-
- o Full will backup all records in the source filing cabinet.
-
- o Incremental will backup all records in the source filing cabinet added since
- you last did a full or incremental backup. If no last date is known for the
- source filing cabinet, all records will be backed up.
-
- o Date Range will backup all records that fall within the range of dates you
- provide.
-
- o Relative Date allows you to select the number of days to be backed up. This
- number is retained and is not dynamically changed by the utility software.
-
- The backup method can be selected by clicking the Method button from the Backup
- Filing Cabinet dialog.

- ΓòÉΓòÉΓòÉ <hidden> Progress Meter ΓòÉΓòÉΓòÉ

- This dialog indicates the progress of the current operation and also displays
- the number of records that may not have been processed.

- To cancel the current operation, select the Cancel button.

- Pressing the Cancel button will abort the current backup, restore or compress
- activity.

- If the Filing Cabinet Utility detects that you are attempting to restore
- records that already exist in your current Filing Cabinet, you will be prompted
- for the following actions:

- o Skip

- o Add All

- Selecting Skip will cause the utility to ignore the current record.

- Selecting Skip All will cause the utility to ignore all duplicate records
- located.

- Selecting Add will force the utility to add the current record.

- Selecting Add All will force the utility to add all duplicate records. It is
- strongly suggested that this option not be selected, as it could result in a
- large number of duplicate entries in your filing cabinet.

- Selecting Exit exits the Filing Cabinet Utility.

- Selecting Cancel aborts the file selection procedure and closes the dialog.

- Checking the Read Only option prevents the opened file from being modified by
- the Filing Cabinet Utility.

- To restore previously archived filing cabinet entries, select the Restore
- option from the File pulldown menu.

- A dialog will be displayed that allows you to enter the source directory and
- filename, as well as the target filing cabinet.

- When satisfied with your choices, click the Begin button.

- Records can be restored by selecting the Restore option from the File pulldown
- menu.

- Selecting this option will cause a summary of your Restore operation to be

- You can choose to have backup files deleted once you have restored from them.
- This option is useful when you want to free the disk space taken by your backup
- files.
-
- If you have chosen this option the Filing Cabinet Utility will delete the
- backup file only after successful completion of the restore activity. You will
- be asked to confirm the removal if suspected duplicate records in the backup
- file were skipped. Otherwise, the file removal is automatic.
-
- If you have multiple backup files selected for the restore activity, the file
- removal will take place before proceeding to the next backup file. Please be
- aware that files completely processed before cancelling a multi-file restore
- will have been deleted.

- This option can be selected from the Filing Cabinet Restore dialog.

- Selecting this option will automatically index the target filing cabinet as
- soon as the records have been restored. Indexing must be completed before full
- text searches are performed, otherwise the search results may not accurately
- reflect the contents of the filing cabinet.

- This option can be selected from the Filing Cabinet Restore dialog.

- ΓòÉΓòÉΓòÉ 4. Compress ΓòÉΓòÉΓòÉ

- As you delete files from CIM for OS/2's filing cabinet, you may notice that the
- actual size of the file FCABINET.CIF does not decrease. To reduce the size of
- your physical filing cabinet file, you must compress the filing cabinet
- entries. This removes unused space in the file, resulting in additional free
- disk space.
-
- This option can be selected by choosing Compress from the Database pulldown
- menu.

- Note: Before compressing, you must have free space on your drive equal to the
- size of the current filing cabinet file (FCABINET.CIF). You can find the
- current size of your filing cabinet file by using the Statistics feature
- of the Filing Cabinet Utility.

- You may find that the folders listed as being available in your filing cabinet
- do not accurately reflect what you believe should be available. This can happen
- when you restore records without indexing or minor corruption of the disk file
- used to track the folder information. The Rebuild option will search your
- filing cabinet file and rebuild the list of available folders.

- This option can be accessed by selecting Rebuild from the Database pulldown
- menu.

- You should occasionally determine the amount of space that is currently unused
- in your filing cabinet file. Selecting the statistics option will display the
- current size of your filing cabinet file, the amount of space unused in that
- file and the percentage of the total file size that the unused space
- represents. If you find that the unused space is physically very large or
- consumes a large percentage of the total filing cabinet size, you should use
- the Compress option to remove the unused space.

- This option can be accessed by selecting Statistics from the Database pulldown
- menu.

- The preferences are used to permanently store your source and target directory
- information used for backups. Information placed in these preferences can be
- manually overridden at backup or restore time if you wish.

- This option can be accessed by selecting Preferences from the Database pulldown
- menu.
