This Textfile is meant to be only a basic guide to using the Archivist Demo,
and as such it is brief. Archivist is supplied with a 20 page printed
manual,containing much more detail, and a Function Keystrip.
Acorns Interactive Help application is fully supported by the Archivist
Applications.
Archivist is supplied with an Importer program, allowing you to import files
to Archivist from the following databases :
Alphabase DataSweet
Flexifile Junior Database
Address ViewStore
BBC Key Desk Diary
Grass Quest
++CSV/TAB which allows you to import from most other databases
Also supplied a Merge application, primarily designed for classroom use,
allows data to be imput into matching files, on different computers, and
later merged to form one big file.
A dedicated Label Printer is supplied for your Names and Addresses files.

In this guide we will take you through, the Archivist and Designer
applications, progressing through the Main Menu (pops up when pressing the
middle mouse button on the main application window), and each of it's
Submenus in turn.
Designer
--------
The Designer application is used to design the form/card, which we will
later enter data into. This is separated from the main Archivist
application, so that changes to the form cannot be accidentally made (very
useful in the classroom).
Clicking on the Designer icon, once on the iconbar, will bring up the main
window, and a large toolbox.
Lets have a look at the toolbox first - Before a field can be created you
must select a field type by highlighting the appropriate icon on the
toolbox.
You then must give your field a name. Select a colour, and set the maximum
text length, in the Length icon. You can set default text for the field,
this text will be displayed on this field on every card.
Now click 'Make New' and the field will be placed on the Main Window. This
field can now be dragged to it's required position on the main window, by
placing the mouse pointer over the field, holding down the left mouse button
"Select', and moving to the correct position.
The cosmetic length of the field can be altered in this way, by repeating
the previous process, but using Adjust (right mouse button).
Each field, as it is created is given a number. A field can be edited later,
by selecting it's number, which will highlight the field itself on the main
window. After altering the fields details click 'Adjust Existing'.
If you select the field format as Date, Archivist will automatically stamp
the current date to this field, in each card as the card is created. This
gives you a record of when you have entered each piece of data.
You must select the date format, from the given options, or you can define
your own format, using the standard date notation.
If you select the field type as Formula, you will be asked to enter a
formula for this field. This formula, allows you to do calculations
automatically, using variables stored in other fields on the same card.
More details for entering formulas is given in the manual, but if you want
to see how they are made up now, load one of the demonstration files
provided into Designer.
From the Main Menu, you can Save your finished Form when satisfied, ready to
be loaded into the main Archivist program for data input.
Freetext allows you to enter text at the cursor, and select it's colour,
which will then be displayed on each and every card of the database. You can
move this about as with a field.
Background - allows you to set the background colour for your card.
Grid - allows you to just display a grid for alignment purposes, or to
actually lock the data or it's label to the grid. Note the grid will not be
shown on the Archivist application, it is for editing purposes in Designer
only.
You should now be able to create your form, ready to be saved, and loaded
into Archivist.

NB. An existing form can have alterations made to it, for example add extra
fields, at any time, even once you have entered data, and you will not loose
any data.

Archivist
---------
Clicking on the Archivist icon on the iconbar, brings up the Archivist Main
Window, and a small toolbox. Data can now be entered into this card and each
subsequent card by clicking on the (+1) icon on the toolbox, to create a new
card. Use the video style controls on the toolbox to browse through the
cards in the database.
From the main window:
Info - Info about the Archivist Program
- Info about the file currently loaded
- Statistics - Min,Max,Total,Average for each field in the file
Save - Save Archivist Data with Password if required
- Save CSV data, with Graphbox codes if required
- Save Search List
- Save Data as Text File
- Impulse link, allows Hotlinks to Impesssion or your own
software.
Print - Print Cards as they are on the screen, using Outline Fonts
- Report Generator - Print data in Tabular form. Fields can be
turned of by clicking on their corresponding tick with Adjust to
turn it into a cross. The order of the fields can be altered, by
dragging them with the mouse whilst pressing Select.
Tools - Clipboard - with the normal Risc Os Clipboard Functions
- Quick Entry - Drag a textfile with one entry on each line to
this window, then position the caret, to the required position
in the database, then click on the appropriate button on the
Quick Entry Window to enter the text to the database.

At this point we should make one thing clear, where you need to enter data
from a card into a writable icon, for example when making a search equation,
you can position the caret, and click on the Field Name, or the Data on the
card itself and it will be entered in an appropriate form at the Caret.This
speeds up the process immensely.

Manipulate - Search - flexible search routine, allows you to build up a
search expression, using mathematical, and Basic Operands, and
save it if you like. This is covered in much more detail in the
manual supplied with the full version.
- Easy Search - produces duplicate of the card, where you can
enter search data, press RETURN, and Archivist works out the
search expression and searches automatically.
- Archivist, provides a standard Search and Replace Routine
- Sort - Archivist provides Primary and Secondary sort routines.
Select the field name, choose Ascending/Descending, click GO,
and let Archivist do the rest.
