Special Thanks:
We want to thank our beta testers for their very valuable
feedback. Without their help, we would still be suffering from
british locutions and mild puffery. Special thanks to Allen Burt,

OffLoad User's Guide
Chapter 1: Introduction
This chapter provides an overview of OffLoad and the concept of
archiving. Archiving is a relatively new concept in the PC world,
something most PC users are not familiar with.
Archiving versus Backup
As a PC user, you have undoubtedly had to deal with the problem
of backing up your hard disk data. Hardware and software failures
can cause you to lose some or all of your hard disk, usually
without any forewarning. DOS provides a backup command which will
get the job done. Numerous other products have become available
over the past five years which are faster, more efficient and
easier to use the DOS BACKUP program. Some let you perform an
incremental backup, backing up only the files which have changed
recently. The technical problems of backing up data have been
well solved for you. All you have to do is take the time to do
the backups.
What most PC users have not yet figured out is archiving. If you
took a close look at your hard disk, you could probably identify
tens or hundreds of files which don't really need to be on the
hard disk. The files are there either because they have been
forgotten or because the PC user feels that they don't dare
delete them. Somehow, they just know that as soon as they do
delete one, they will find a pressing need for it.
So, what are you supposed to do? Copy the files to floppy disks
and hope that you can find them in the future when you need them?
Good luck. Compress them into a general-purpose archive file such
as an ARC, PAK, ZIP or LZH format? The files are still on your
hard disk; they just take up less space. You can't use files in a
general-purpose archive without first un-archiving them. Finding
individual files in a general-purpose archive is not always easy.
Or maybe you should just go ahead and delete the files and hope
for the best? None of these are good answers to this problem.
Archiving is the answer! They have been doing it in large
mainframe data centers for years. It's really quite simple. You
copy the files out to a long-term, inexpensive storage medium and
provide the computer users with a simple method for locating the
archived files and copying them back to the hard disk. For
efficient use of the storage medium, you compress the files as
you copy them out which lets you store two to three times the
number of files in the same space.
7
User's Guide OffLoad
For PCs this means archiving files out to diskettes (any size,
any density). How do you know which files to archive? There are
two ways. One way involves the user issuing a simple command or
pointing to a file name and flagging that file for archival. The
other way involves archiving files automatically when they have
not been modified in a user-specified amount of time. However,
you don't want to archive any file which is unused, only those
that you know are not needed. You don't archive help files,
executable files, configuration files, style sheets, etc.,
because these files need to be on the hard disk all of the time,
even though they might only be used a few times a year.
Archiving is a simple matter of space management. You only have
so much hard disk space and you don't want to go buy a larger
hard disk every time you fill one up. And filling it up is
inevitable. Remember when an IBM PC/XT came equipped with a ten
megabyte hard disk and it seemed huge? Nowadays, forty megabytes
is pretty much standard. Next year it will probably be eighty
megabytes. Space management means that hard disk space should be
reserved for data which you need at a moment's notice. Floppy
disk space is much cheaper, but it is also slower and more
cumbersome to use. By managing your storage space properly, you
ensure that you have the important data on the hard disk and the
less important data on floppy where it is available within
minutes. This only works, however, when you make the process of
locating files on the archive diskettes and bringing them back to
the hard disk simple enough for anyone to use.
Benefits of Archiving
Archiving is something like cleaning out a disorganized closet
and throwing away things that you will probably never need again.
Except you don't really throw them away. You just pack them
neatly in boxes and store them away. But the difference between
this example and real life is that you know that you will be able
to find your files a year from now, in seconds, and it won't be
painful.
Because it is so painless, you can even pack away things that you
might very well need, but not for a long time or not very
frequently. You reserve the convenient storage hard disk space
for those things that really matter.
When you apply this to your PC, a lot of good things happen:
You suddenly have much more hard disk space available
You can find the files on your hard disk more easily because
8
OffLoad User's Guide
there are fewer files to wade through
Your hard disk response time seems to improve because there
are fewer files to search every time you issue a command or
search a subdirectory (you still should use a good
defragmenting utility regularly to optimize response time)
You no longer have to pull one software product off your PC
in order to make room to install a new one
Backups go faster and require fewer diskettes because there
is less data to back up
What is OffLoad?
By now, you should have some idea what OffLoad is all about. It
is a software product which moves files from a PC's hard disk to
diskette media. It keeps track of which files have been moved. It
provides a simple, point-and-shoot procedure for locating an
archived file and moving it back onto the hard disk when
necessary. OffLoad compress the files as they are moved to
diskette reducing them in size anywhere from 10% to as much as
85%. The amount of space reduction depends on the type of data in
the file.
Three Approaches to Archiving
A PC user can use OffLoad facilities to identify individual files
to archive. Or you can rely on OffLoad's unmodified file archival
to archive a file after it hasn't been changed for a specific
period of time. A combination of these methods can be used. The
best combination will be whatever is appropriate to the
individual user's situation and level of experience.
Interactive Archiving
Interactive archiving is the simplest to understand and
implement. You identify to OffLoad which files you want archived
and let OffLoad take care of the rest. You choose files from a
visual list of files by marking the ones that you want to have
archived. This process is the best for the user who wants to have
absolute control over the archiving process.
Unmodified File Archiving
9
User's Guide OffLoad
Archiving files which have not been changed in a specified period
of time is more of an automated approach to archiving files. With
this approach, you activate individual subdirectories on your
hard disk for unmodified file archival. Within each subdirectory,
you specify an aging factor. You activate classes of files for
archival by activating individual file extensions as archive
candidates. When this is done, you have told OffLoad to archive
all files in a specific directory which:
1. have a file extension (the three characters of the file
name which are after the period) which matches an
activated extension,
2. have not been modified in the number of days specified
in the aging factor for the directory,
3. are not on the list of excepted files in the directory.
The actual archiving of files takes place when you run OffLoad
and initiate an unmodified file archive procedure for a specific
OffLoad catalog. This is something you might do daily, weekly,
monthly or whenever you are running low on hard disk space.
Scheduled Archiving
Sometimes, you may want to schedule a file for archival without
having to archive it right then and there. At other times you may
want to schedule a file for archival, but not until a certain
date. A DOS command is provided with OffLoad for scheduling files
for archival. You can specify which files are to be scheduled for
archival on the command line itself or via a "point-and-shoot"
screen which lists the files in the current directory.
Archiving files to diskette(s) is independent of the scheduling
process. It can be done when it is convenient for you. OffLoad
will remind you every time you start OffLoad when scheduled files
are ready to be archived. You can initiate the process whenever
you like.

Chapter 2: Installing OffLoad
Installing OffLoad is a three step process:
1. Run the OffLoad installation program to copy OffLoad's
program and supporting files to your hard disk.
2. Configure OffLoad to operate properly in your
environment.
3. Verify operation of OffLoad by performing a manual
archival operation.
Hardware and Software Requirements
OffLoad runs on IBM PC, XT, AT, PS/2 and compatible personal
computers.
Required Software
OffLoad operates under MSDOS and PC-DOS versions 2.0 and greater.
Required Hardware
OffLoad requires a hard disk (it doesn't make sense to archive if
you don't have a hard disk). It supports both 5.25" and 3.5"
diskette drives. It supports 360K and 1.2MB densities on 5.25"
diskette drives and 720K and 1.44 MB densities on 3.5" diskette
drives.
Installation Process
Installation and configuration of OffLoad takes approximately 10
minutes (elapsed time).
Step 1: Install Program Files
Place the OffLoad Program diskette in your floppy disk drive. Log
onto the A: drive and enter the following command:
12
OffLoad User's Guide
INSTALL [enter]
OffLoad's install screen will display. Press ENTER to begin the
installation process. First you will be prompted for the drive
letter of the drive containing the OffLoad distribution diskette.
Type in the correct letter and press ENTER. Next you will be
prompted for the drive letter of the drive onto which you want to
install the OffLoad program files. Type in the drive letter and
press ENTER. Next you will be prompted with a suggested directory
name into which the files will be copies. Feel free to change
this directory name if you want. If you specify a directory name
that doesn't already exist, it will be created for you. After you
have answered the prompts, the install program will copy, the
Offload distribution files to the destination directory. You will
be prompted once to install the second OffLoad distribution
diskette. Next, you will be presented with two lists of files
which will be loaded down to your hard disk from the OffLoad
self-extracting distribution files. Answer Y to each prompt
asking whether to install the files. After the file installation
process is complete, the installation program will automatically
start step 2 of the installation process.
Step 2: Configure OffLoad
Before running OffLoad, you must first run the OffLoad
configuration program. This program sets up a configuration file
which OffLoad uses to manage its operation. OffLoad will not
start until this configuration file is created.
The install program will execute the OffLoad configuration
program automatically after it has successfully installed all of
the OffLoad program files on your hard disk. The OffLoad
configuration program menu looks like that shown below:

You need only concern yourself initially with the four required
configuration settings. They are:
Target Drive
Specify here the drive letter of the diskette drive where OffLoad
will archive files. This will generally be either A or B.
Printer Port
Specify here the name of the port where your printer is attached.
This will generally be either LPTx or COMx, where x is a number
between one and three.
Printer Type
Select from a list of supported printers to indicate the type of
printer which is attached at the port above. To choose from the
printer types you installed with OffLoad, place the cursor in
this field, press ENTER and then press your insert (INS) key.
Then you can use your up and down arrow keys to scroll through

the list of supported printers. If your particular brand of
printer is not on the list, select the ANYPRINT printer type.
Refer to Appendix A for a list of supported printers.
Catalog Directory
OffLoad maintains its catalog(s) of archived files on your hard
disk for fast access during archive and restore operations. By
default, it will store these catalogs in the currently logged
directory when OffLoad is executed. All catalogs must be stored
in the same directory. Specify the drive and path for your
preferred directory.
Work Directory
OffLoad creates a number of temporary "work" files during its
operation. You need to specify the name of a directory on the
hard disk where OffLoad can create these files. OffLoad
automatically deletes these files when it is finished with them.
Naming a RAM drive will speed up program operations.
Step 3: Verify Installation
After the installation and configuration of OffLoad is complete,
you can verify that OffLoad is installed properly by entering the
command:
OFFLOAD
while your active subdirectory is the same one in which you

If you did not get these results,
1. Check to be sure that your active directory is the one
in which you installed OffLoad. If you are unsure,
either type the DOS command "PROMPT $P$G" to have the
current directory name display with the DOS prompt or
issue a DIR command and check to make sure that the
file OFFLOAD.EXE is in the directory list
2. You need a minimum amount of available memory to be
able to run OffLoad. If you do not have enough memory
available, you will see the message shown below:
Program too big to fit into memory
If this happens, you will need to increase the amount of
available memory for OffLoad. You can do this by removing TSR
programs (e.g. Sidekick, print spoolers) or removing unnecessary
device drivers.
When you are able to bring up this screen, you have completed the

installation process. You can move your highlight bar down to the
EXIT OFFLOAD option using your down arrow key and press ENTER.
This will return you to DOS.
You are now ready to begin archiving files. The remainder of this
manual will teach you how to archive files, search archive
catalog(s) and restore archived files back to your hard disk.

Chapter 3: Jump Right In
In this chapter, we will go through the process of creating an
archive catalog, archiving files to the catalog (both manually
and using the automatic archive option), displaying and printing
the contents of the catalog and restoring an archived file to
your hard disk.
Getting Started
Before starting any archiving, you should make sure you have a
few pre-formatted diskettes ready. These can be diskettes of any
capacity (360K, 720K, 1.2M, 1.44M, etc.). If you don't have any
pre-formatted diskettes, use the DOS FORMAT command to format at
least two diskettes. If one or more of your diskettes already
contains files which you no longer need, it is not necessary to
delete them. OffLoad will automatically clear a formatted
diskette for it's own use after ensuring that it is OK.
Configure Offload
Before starting your first archive operation, it is wise to spend
a few minutes verifying that the OffLoad is properly configured
for your system. To run the OffLoad configuration program, follow
the steps outlined below:
1. Change your current directory to the directory in which
you installed OffLoad.
2. Enter the command:
OLCONFIG [enter]
Your computer screen will look similar to that shown below:

For the first part of this exercise, we need only concern
ourselves with the first OffLoad Configuration option. This
option contains most of the configuration required for
manually-directed archive operations. Later, we will concern
ourselves with the Unmodified File configuration option.
The highlighted cursor bar should already be on the option
entitled OffLoad Configuration. Either use your up and down arrow
keys to move it there, move your mouse over it and press the left
button, or type the letter O. When the highlight bar is over this
option, press the ENTER key. You will see that there are 12
options which can be reviewed and updated.
Target Drive
Specify here the drive letter of the diskette drive where OffLoad
will archive files. This will generally be either A or B.
Printer Port
Specify here the name of the port where your printer is attached.
20
OffLoad User's Guide
This will generally be either LPTx or COMx, where x is a number
between one and three.
Printer Type
Select from a list of supported printers to indicate the type of
printer which is attached at the port above. To choose from the
printer types you installed with OffLoad, place the cursor in
this field and press ENTER. Use the right and left arrow keys to
scroll through the list of supported printers. If your particular
brand of printer is not on the list, select the ANYPRINT printer
type.
Compression Should Favor
As the archived files are copied to the archive media (usually
diskettes), the files are compressed. This allows OffLoad to
store a significantly larger number of files on each diskette
than would normally fit.
There are three compression options that OffLoad provides. One
compression option results in the smallest possible compressed
file (Favors Space), but requires more time for compression and,
therefore, lengthens the archive operation somewhat. A second
compression option compresses the file as quickly as possible
(Favors Speed) but does not conserve as much space on the archive
medium. The third option is to have no compression at all. To
indicate your preference, place the cursor in this field, press
the right and left arrow keys to display your choices and press
ENTER to select the desired compression technique.
Delete Archived Files
Generally, you will use OffLoad to move files from your hard disk
into archives. After the files are successfully copied to your
archive media, OffLoad can automatically delete the copies on
your hard disk(s). This configuration option is used to tell
OffLoad whether you will want it to delete from your hard disk
the files it archives for you.
Place the cursor in this field and type Y for yes, N for no or
press ENTER and use the left and right arrow keys to select from
Yes or No.
For this exercise, you may want to choose NO since you may only
be practicing and don't necessarily want the files deleted. You
can always go out and delete the files by hand later with the DOS
DEL command.
21
User's Guide OffLoad
Always Restore to Original Directory
When you restore an archived file from the archive media back to
your hard disk, OffLoad needs to know where to put the file on
the hard disk. You have two choices: you can either have OffLoad
always restore the file to the directory in which it resided when
it was archived. Or you can have OffLoad prompt you every time
you restore a file for your preference. If you choose to be
prompted, OffLoad will ask you to choose between restoring the
file(s) to their original directory and selecting a target
directory from a directory tree display.
Place the cursor in this field and type Y for yes, N for no or
press ENTER and use the left and right arrow keys to select from
Yes or No.
Directory List Sort Sequence
When OffLoad shows you a list of files in a directory during the
manual archiving operation, it can display the files in one of
three different orders. Place the cursor in this field and press
ENTER to see a list of sort options. Move the highlighted bar to
your preferred sort order and press ENTER.
Catalog Directory
Offload maintains it's catalog(s) of archived files on the hard
disk for fast access during archive and restore operations. By
default, it will store these catalogs in the currently logged
directory when OffLoad is executed. To simplify the operation of
OffLoad, all catalogs should be stored in the same directory.
Specify the drive and path for the preferred directory.
Work Directory
Sometimes, OffLoad creates temporary work files in support of its
operation. These files are deleted automatically when you exit
OffLoad. By default, it creates its work files in the currently
logged directory. If you prefer to have these files created
elsewhere (for performance or space considerations), specify the
drive and path for the preferred directory. If you have a RAM
disk on your system and specify it for these temporary files, the
delay introduced by compression during archive operations will be
noticeably reduced.
22
OffLoad User's Guide
Fill in all of the required configuration options discussed above
and press the ESC key or the F10 key to indicate that you are
done. Move the highlight bar to the Exit Install option and press
ENTER.
Start Offload
Now that you have set up OffLoad's configuration, you are ready
to begin a manual archive operation. Start OffLoad by changing to
the OffLoad directory (if necessary) and entering the command:
offload [enter]
After doing so, the computer screen will look similar to that
shown below:

Create a Catalog
23
User's Guide OffLoad
The first thing you must do is create a catalog into which you
will archive the files you select for manual archive. The
highlight bar should be placed on the Activate/Create Catalog
option. Press ENTER and type in the name of a new catalog, type
in the name of an existing catalog or press the INS key to select
from a list of existing catalogs.
The method you use for organizing your archived files into
catalogs is probably as personal a decision as the method you use
for organizing your hard disk directory structure. The important
thing is to organize your archives in such a way that locating
files later on will be intuitive. Of course, OffLoad makes the
task of locating archived files quite simple. It is still easier
and quicker to locate a file if you know which archive catalog it
is in.
Initiate a Manual Archiving Operation
Now that you have either loaded or created a catalog, you are
ready to begin a manual archive operation. Note that the catalog
name now shows in the top box on the screen. Use the right arrow
key to move to the UPDATE option on the OffLoad primary menu.
Place the highlight bar on the Archive Files (Manual) option and
press ENTER.
In a manual archive operation, you are presented with a visual
diagram of the hard disk organization (directories and
subdirectories) and you move from directory to directory
selecting files for archival. You can select as many or as few
files as you wish.
First, you will be prompted for a drive letter to search for
files to archive. If you want to search a drive other than the
one specified by default, backspace over the existing drive
letter, type in the desired drive letter and press ENTER.
Select Subdirectories
A visual display of the directory structure on the selected drive
will be displayed on the left third of the screen. Subdirectories
of directories are indented in the display to show the
relationships between the different directories on the hard disk.
This display is sometimes referred to as a directory tree. A
sample is shown below:

You can display a list of files in any subdirectory on the hard
disk by moving the highlight bar to the desired directory name
and pressing ENTER. The up and down arrow keys will move the
highlight bar up and down one line on the directory display. PgDn
will first move the highlight bar to the last directory line on
the screen. Subsequent PgDns will scroll the directory list, one
screen's worth at a time. PgUp works just the opposite; the first
PgUp moves the highlight bar to the top directory on the screen.
Subsequent PgUps scroll up the directory list, one screen's worth
at a time. CTRL-PgUp moves the highlight bar to the top of the
entire directory list (the root directory). CTRL-PgDn moves the
highlight bar to the last directory name in the directory list.
When you press ENTER with the highlight bar on the name of a
directory, two things happen. First, the active subdirectory name
in the directory listing is displayed in a different color from
the rest of the list. This helps you keep track of which
directory you are working on. Second, a list of files in the
directory appears on the right two-thirds of the screen, sorted
in the order you specified (or defaulted to) in OffLoad
configuration. You can select files for archive from this list. A

The highlight bar on the files window shows which file will be
affected by pressing a function key. To mark a file for archival,
press the F5 function key while the highlight bar is on the
desired file name. The F5 key acts as a "toggle" so you can
unmark a file which was previously marked by placing the
highlight bar on the file and pressing F5. A marked file displays
in a different color from an unmarked file and if the highlight
bar is placed on a marked file, the file entry will be flashing.
You can mark all files in the files window by holding down the
shift key and pressing F5 (S-F5).
In the files window, you can also delete files from the hard
disk. You can delete a single file by pressing the DEL (delete)
key while the highlight bar is on the file entry. You can delete
multiple files by marking each file to be deleted and then
pressing the DEL key. Either way, a confirmation screen will pop

up whenever you press the DEL key to make sure that you meant to
delete the file(s).
If you have marked files but wish to abort without saving any
file markings for this subdirectory, press the ESC (escape) key.
After you have marked all of the files that you want archived,
press ENTER. The file window will go away and the highlight bar
will be active in the directory window. You can either go on to
other directories to mark other files, or, if you are done
marking files for archival, simply press the ESC (escape) key.

entry and press the DEL (delete) key. If you want to remove more
than one file from the list, you can mark each file with the F5
(mark) key (as you do when marking files for archive) and press
the DEL key when all are marked. This will remove all marked
files from the list.
When the list of archive files displays to your satisfaction,
press ENTER to begin the archival operation.
Start Archiving Operation
The screen will clear and OffLoad will request that you insert
the active archival diskette for the catalog you activated
earlier. This may be a new diskette if the catalog is new, or an
existing catalog diskette if you have archived files to this
catalog in the past. Insert the diskette which has been requested
and press ENTER.
OffLoad will work through the list of files, compressing each
file (except ARC, LZH, ZIP and PAK files) and copying it to the
archive diskette. You may be prompted to insert one or more new
diskettes, depending on the size and quantity of files you are
archiving. OffLoad's compression facility reduces the size of
each file as it is copied to the diskette so you can fit more
data on a diskette than you might expect. A frequently updated
count of the amount of space remaining on the diskette is shown
on the lower right hand portion of the screen.
Delete archived files?
When all of the files have been copied to archive, OffLoad checks
your configuration to see if you requested that files be deleted
automatically from the hard disk after they have been archived.
If you requested that they be deleted, OffLoad will display a
confirmation window to be sure that you want the files you just
archived to be deleted. If you press ENTER, the files will be
deleted. If you do not want them to be deleted this time, move
the highlight bar to NO (or type N) and press ENTER. If you
instruct OffLoad to delete the files, a message will be displayed
in the lower center of the screen as each file in the list is
deleted.
Make labels for Diskette(s)
28
OffLoad User's Guide
Take a minute to stop and prepare labels for the archive
diskette(s). On each label you should, at a minimum, write the
name of the archive and the diskette number for that archive. In
addition, you might want to write in the current date. There is
no need to write anything about which files are archived on the
floppy because OffLoad's file search capability does a great job
of helping you locate files in your archives. It is faster and
more accurate than any external labels you might try to maintain.
Review/Print Catalog Information
Since we are learning as we go this time, let's take a look at
OffLoad's catalog listing and file search capabilities. Press the
right arrow key once to move to the DISPLAY/RESTORE option on
OffLoad's main menu. Move the highlight bar down to the Search by
File Name option and press ENTER. A window will pop up requesting
a file name and extension. To see a list of all of the files in
the archive, just press ENTER. To limit the search, type a file
name or file name pattern (same as DOS conventions; *.*, *.EXE,
etc.) and press ENTER. You should see a screen similar to the one
shown below. The obvious difference is that yours will contain
the names of the files in your archive.

If you want to print this list, press the F8 key. A window will
pop up to ask if you want to print the report to your printer
(attached to the printer port specified in configuration) or
print it to a file. Choose the desired report destination and
press ENTER.
You can change the sort order of the list by pressing the F4 key.
A window will pop up giving you a series of choices for sort
order. Choose the desired order and press ENTER. If you change
the sort order, any report you print will be in the new sort
order. You can change the default sort order OffLoad uses in the
OffLoad configuration program.
There is more information about each file than can be displayed
on this screen. You can display this additional information about
any file on the list by moving the highlight bar to the file
entry and pressing ENTER. A new screen will show the date and
time the file was last updated before it was archived, the date
and time it was archived, its size (both before and after
compression), which archive diskette it resides on and any
keywords that you have assigned to this file.
30
OffLoad User's Guide
If the file is one of the valid general purpose archive file
types (ARC, LZH, PAK or ZIP) it will also show how many files are
contained within it. For these types of files, press ENTER again
to see a list of the files which are contained in the general
purpose archive file.
From the file list screen, you can initiate a reload of an
archived file. We will save this topic for discussion later in
this chapter.
Other Search Options
There are two other ways to search for files. The Search by
Archive Date option lets you specify a date range to search.
OffLoad then displays all files in the catalog which were
archived during that time period. The Search by Keyword option
allows you to specify one or more keywords to search for. OffLoad
will display all files which contain ALL of the keywords
specified. Later in this chapter we will discuss how to assign
keywords to a file.
Exiting OffLoad
We are now done with the first phase of OffLoad archiving. You
can exit OffLoad by pressing the escape key to back out of
OffLoad's menus until it pops up a window asking if you want to
exit OffLoad. The highlight bar will be on Yes so you can press
ENTER to exit OffLoad. A faster way to exit OffLoad is to press
the F10 key while holding down the ALT key (ALT-F10) and answer
Yes to the prompt.
31
User's Guide OffLoad
Initiate a Unmodified File Archive Operation
OffLoad supports archiving files in a more automated fashion than
the method we just reviewed. Files can be archived from the hard
disk automatically by OffLoad when they remain unchanged for a
specified period of time. Every time a file is changed, its date
and time is automatically updated by the operating system (DOS).
You can use this information to cause a file to move from the
hard disk to archive media.
Since many files on the hard disk are read every day by your
application software but are not changed, it is important that
you control the process of selecting which types of files are not
candidates for unmodified file archival. Examples of these types
of files are executable (EXE) files, help files, overlays, etc.
You do not want these files to be archived by age. Rather, you'd
like to archive just those which are created by you in the
day-to-day use of your PC. Word processing files, spreadsheets,
reports, graphic images, etc. are the types of files which should
be under OffLoad unmodified file archive control. OffLoad will
not perform any unmodified file archival until you activate it by
creating specific archival criteria in the OffLoad configuration
program.
You use the OffLoad configuration program to activate unmodified
file archival. You activate archiving one subdirectory at a time.
Within a subdirectory, your activate specific file extensions for
automatic archival and specify an aging factor for the entire
directory. Let's go through the process now of activating
unmodified file archival for one directory.
Run Configuration
The first step is to run the OffLoad configuration program. If
you are not currently in the OffLoad directory, change to that
directory and type OLCONFIG. This time, we will be working in the
AutoMove Directory Setup option. Move the highlight bar down to
this option and press ENTER or click on it with the left button
of a mouse.
You will be prompted for a catalog name. Each catalog can have
its own unmodified file archival options. This gives you the
flexibility to support virtually any archive catalog scheme you
might devise.
32
OffLoad User's Guide

A window will pop up showing the list of subdirectories which
have already been activated for automatic archival in this
catalog.

files, move the highlight bar to the file name and press the
delete (DEL) key. A window will pop up to ensure that you want to

you view the first 64K of any file. The DEL key can be used to

catalog into which the marked files will be archived. This can be
either an existing catalog or a new one. Specify the catalog name
and press ENTER. Another window will pop up asking for the date
on which these files are eligible for scheduled archival. If you
specify no date, the current date is assumed. You can specify a
date in MMDDYY format, if desired. If you specify a date which is
in the future, OffLoad will wait until that date arrives before
prompting you to archive the files. Type in a date (or just press
ENTER for the current date) and you will notice that the catalog
name and date appears to the right of the marked files. At this

exit to DOS;
2. press the ESC (escape) key to abort and throw away any
scheduling you have done since entering the SCHEDULE
command; or,
3. mark more files for archival.
Scheduling Files via the ANALYZE Utility
Another method for scheduling files to be archived is via the
ANALYZE command. This utility lets you look at the contents of
your hard disk in a way few people ever do. It lets you view the
disk's contents by file extension (the three characters in a file
name which follow the period). This view has many uses:
It lets you identify groups of files which can be deleted or
archived (e.g. .DOC files, READ.ME files, .BAK files, etc.).
It also gives yo the information you need to set up your
unmodified file archival scheme. ANALYZE makes it simple to
identify the file extensions which are candidates for this
type of archival
It also shows you a list of all files with a particular
extension so you can easily identify any files which need to
be excluded from unmodified file archival.
Exit back to DOS and type in the command:

2. marking one or more files (with the F5 key) and
pressing the DEL key.
You also modify any item already in the schedule; change its
catalog and/or scheduled archive date. Press ENTER while the
highlight bar is on the file name (or mark a group of files and
press ENTER) and you will be prompted for a catalog name and
archive date. Press ENTER without entering anything to make no
change to the item or type in an new catalog and/or date and
press ENTER.
If you make any changes to the schedule, be sure to use the F10

User's Guide OffLoad
Move the highlight bar to the UPDATE menu option (on the OffLoad
primary menu) and press ENTER. Move the highlight bar to the
Archive Files (Scheduled) option and press ENTER. For each
distinct OffLoad catalog that has files ready to be archived,
OffLoad will display a screen showing the catalog name and some
archive statistics. After you press ENTER it will display the
list of files to be archived to the catalog. As with the other
two archival procedures, you can remove files from the list at
this time if desired. Press ENTER once again and you will be
prompted to insert the appropriate archive diskette for the
catalog. The files will be cataloged and, if you have set OffLoad
up to automatically delete files after archival, you will be
asked to confirm that you want them deleted.
Assigning Keywords
As you can see, you now have three very powerful, easy to use
methods for moving unneeded files off the hard disk. At some
point in the future, you will most likely find yourself needing
to re-load one of these files back to the hard disk. If enough
time has passed, trying to remember the file name might not be a
simple matter.
With OffLoad, you can assign keywords to any of the files in an
archive catalog. These keywords can then be used at a later date
to search the contents of one or more archive catalogs. Taking a
few minutes now to assign keywords to your archived files can
make a world of difference later when you need to find one of
these files. If you are consistent about assigning keywords, you
can search the catalog by one or more keywords and reduce the
list of files you need to review to a handful.
To assign keywords to a file in an archive, first be sure you
have loaded the archive. Then select the Edit File Keywords
option from the UPDATE menu. You will be prompted for a file name
and extension. You can enter a file name or file name pattern
(e.g. *.txt, etc.) here to reduce the list of files to keyword.
Press ENTER to list all of the files in the catalog which have
not already been assigned any keywords. To assign keywords to a
file or update the keywords which are already assigned, move the
highlight bar to the file name and press ENTER. A window will pop
up in which you type your keywords. If no keywords are assigned
to the file, the window will be empty. If one or more keywords
are already assigned, they will be displayed in the window, ready
to be edited.
To see a list of the last 10 keyword combinations you assigned
files, press the insert (INS) key. You can select from this list
44
OffLoad User's Guide
instead of typing in keywords.
If you make any changes to the keyword assignments, you should
save the updated catalog via the Save Current Catalog option on
the CATALOG menu. If you want to backup the changed catalog onto
the archive diskette (something which is automatically done
whenever you archive files to a catalog), you should also choose
the Backup Catalog option which is just below the Save Current
Catalog option.
Searching for Files by Keyword
Since you have now gone through the exercise of assigning
keywords to a file, let's take a minute and do a file search by
keywords.
Select the Search by Keyword option from the DISPLAY/RESTORE
menu. You will be presented with a window in which to type the
keyword(s) you want to search for. If you search on more than one
keyword, only files which have been assigned all of the keywords
you specified (in the same order you specified them) will be
selected. Type in one of the keywords you have assigned and press
ENTER. A file list screen will display showing all of the files
in the current catalog which have been assigned the keyword. At
this point, you could print this list as a report or select any
or all of the files to be restored.
Restoring Archived Files
Since we are at this point, it makes sense to discuss the last
part of OffLoad that you will need to know; how to restore an
archived file to the hard disk.
The first step in the process you have already done. That was to
use one of the three Search options in the DISPLAY/RESTORE menu
(file name, archive date and keywords) to display a list of all
or some of the files in the archive catalog. Now, you need to
mark any of the files you want to restore. To mark a file, move
the highlight bar down to the file name and press the F5 (mark)
key. As with the other marking operations in OffLoad, the mark
key is a toggle. An unmarked file will be marked if you place the
highlight bar on the file name and press F5. A marked file would
be "unmarked" by the same operation.
After you have marked all of the files you want to restore, press
the F6 (restore) key. A list of marked files will display, You
can remove files from this list in the same manner as you would
45
User's Guide OffLoad
remove files from a list of archive candidates. Place the
highlight bar on a file name and press the delete (DEL) key to
remove an individual file or mark a group of files and press the
delete (DEL) key to remove the group.
To start the restore process, press the ENTER key. What happens
next depends on whether you configured OffLoad to always restore
to the original directory from which the file was archived. If
not, you will be prompted to choose between restoring to the
original directory or manually selecting a directory to receive
the files. If you choose to manually select a directory, a
directory tree will be displayed in a familiar format and you can
move the highlight bar to the appropriate directory and press
ENTER. All of the files you selected to restore will then be
restored to this directory. If you choose to restore the file(s)
to their original directory, OffLoad will create the directories,
if required, and restore them to that location.
If you attempt to restore a file to the same name as an existing
file, a warning window will pop up and you can either abort the
restore process for that file or overwrite the existing file.
OffLoad will prompt you to load any archive diskettes required to
complete the file restorations. The files will remain untouched
in the archive catalog and on the archive diskettes.
Review
You have now used the major components of OffLoad. You have
archived files both manually and automatically. You have searched
catalogs, located files, displayed information about archived
files and even restored them back to the hard disk.
In practice, you will probably use both of OffLoad's archive
modes on a regular basis. Each has its own purpose. The manual
mode is great for archiving files that you know you are done
with, without having to wait for them to age. It is also great
for moving groups of files off the hard disk and later moving
them back on with just a few keystrokes.
The automated (archive by age) mode is great for policing the
hard disk and eliminating files you forget were there. The larger
the hard disk, the easier it is to forget about files. Hard disks
which are shared by multiple users (LAN servers) are also great
repositories for unneeded files. Archiving files by age is the
only way to keep a server under control.
You can now go back to the OffLoad configuration program and set
up the rest of the directories for unmodified file archival.
46
OffLoad User's Guide
Then, if the urge hits you, maybe you can go back and review the
rest of this manual. OffLoad is pretty easy to use but there are
some great time-saving features in it which are not covered in
this chapter. Read on!
Configuring OffLoad
OffLoad needs to be configured to manage your PC and hard disk
resources. It is a simple process which takes less than 5
minutes. There are certain configuration items that you must
specify as well as some "preferences" which you may specify, if
you want to. There are defaults for all preference items, so you
do not have to worry about these if you don't want to. The
required configuration items are:
1 which diskette drive to use when archiving files
2. where OffLoad should store its archive catalogs
3. what kind of printer you want to print reports on; and
4. how the printer is attached to your PC
The optional preference items are:
1. Where OffLoad should create its temporary work files.
If you don't specify a directory, OffLoad will create
them in the directory which is active when OffLoad is
run.
2. Whether data compression favoring speed or efficient
use of diskette space should be given the higher
priority when archiving files.
3. Whether OffLoad should delete all files from the hard
disk after they are archived to diskette media If you
don't specify a preference, OffLoad will prompt you
every time to see if it should delete the files.
4. Whether OffLoad should, when restoring files from
archives, restore the files to the directory from which
they were archived or prompt for a new location. If you
do not specify a preference, OffLoad will prompt you
every time it restores files for your preference.
5. The order in which OffLoad should display the list of
files in a hard disk directory. OffLoad can show them
in one of three sort orders. If you don't specify your
preference, OffLoad will show them in File Name and
47
User's Guide OffLoad
extension order. You can also choose to show them in
File Name, Date or Extension order.
Permanent versus Temporary Configuration
Permanent Configuration Changes
The OffLoad Configuration program displays and accepts changes to
the permanent configuration specifications.
Temporary Configuration Changes
During the execution of OffLoad, you can make temporary changes
to some of the configuration options using the Configuration
option on the UPDATE menu. These temporary changes last only for
the duration of the OffLoad execution in which you make the
temporary configuration overrides. As soon as you exit OffLoad
and re-start it, the permanent configuration options will be in
control. Refer to chapter 5 for more information in making
temporary configuration changes in OffLoad.
48
OffLoad User's Guide
General Configuration
There is a separate program which is used to display and change
OffLoad's permanent configuration options. You must run the
OffLoad Configuration program before operating OffLoad for the
first time. This establishes the configuration file which is
required for the OffLoad program to execute. To run the OffLoad
configuration program, follow the steps outlined below:
1. Change the current directory to the directory in which
you installed OffLoad.
2. Enter the command:
olconfig [enter]
The screen will look similar to that shown below:

Required Configuration Settings
There are four required configuration settings. They are:
Target Drive
Specify here the drive letter of the diskette drive where OffLoad
will archive files. This will generally be A or B.
Printer Port
Specify the name of the port where your printer is attached. This
50
OffLoad User's Guide
will generally be LPTx or COMx, where x is a number between one
and three.
Printer Type
Select from a list of supported printers to indicate the type of
printer which is attached at the port above. To choose from the
printer types you installed with OffLoad, place the cursor in
this field, press ENTER and then press the insert (INS) key. Then
you can use the up and down arrow keys to scroll through the list
of supported printers. If your particular brand of printer is not
on the list, select the ANYPRINT printer type.
Refer to Appendix A for a list of supported printers.
Catalog Directory
OffLoad maintains its catalog(s) of archived files on the hard
disk for fast access during archive and restore operations. By
default, it will store these catalogs in the currently logged
directory when OffLoad is executed. All catalogs must be stored
in the same directory. Specify the drive and path for the
preferred directory.
Preference Items
The following items allow you to customize OffLoad's operation to
suit your needs. These are optional. You can run OffLoad without
specifying any preferences.
Compression Should Favor
As the archived files are copied to the archive medium (usually
diskette), the files are compressed. This allow OffLoad to store
a significantly larger number of files on each diskette than
would normally fit.
There are two compression methods that OffLoad can use. One
compression method results in the smallest possible compressed
file (Favors Space), but requires more time for compression and,
therefore, lengthens the archive operation somewhat. The other
method compresses the file as quickly as possible (Favors Speed),
but does not conserve as much space on the archive medium. To
indicate your preference, place the cursor in this field and
press enter. In addition, you have the option to disable
compression altogether which will make the archival process as
quick as possible but will also consume a larger number of
51
User's Guide OffLoad
archive diskettes. Use the right and left arrow keys to display
the choices and press ENTER to select the desired compression
option.
Delete Archived Files
Generally, you will use OffLoad to move files from the hard disk
into archives. After the files are successfully copied to the
archive media, OffLoad can automatically delete the copies on the
hard disk(s). This configuration option is used to tell OffLoad
whether you will want to delete archived files automatically.
Place the cursor in this field and type Y for yes, N for no or
press ENTER and use the left and right arrow keys to select from
Yes or No.
If you specify Yes, OffLoad will still prompt after every archive
operation to verify that you want to delete the files. If you
specify No, you will not be prompted and the files will not be
deleted from the hard disk.
Always Restore to Original Directory
When you restore an archived file from the archive medium back to
the hard disk, OffLoad needs to know where to put the file on the
hard disk. You have two choices: you can either have OffLoad
always restore the file to the directory in which it resided when
it was archived, or you can have OffLoad prompt you every time
you restore a file. If you choose to be prompted, OffLoad will
ask you to choose between a) restoring the file(s) to their
original subdirectory and b) selecting a target subdirectory from
a directory tree display.
Place the cursor in this field and type Y for yes, N for no or
press ENTER and use the left and right arrow keys to select from
Yes or No.
Directory List Sort Sequence
When OffLoad shows you a list of files in a directory during the
manual archiving operation, it can display the files in one of
three different orders:
1. file name, file extension;
2. file name, date last updated;
3. file extension, file name.
52
OffLoad User's Guide
Place the cursor in this field and press ENTER to see a list of
sort options. Move the highlighted bar to the preferred sort
order and press ENTER.
Work Directory
At times, OffLoad creates temporary work files that are deleted
when you exit OffLoad. By default, it creates its work files in
the currently logged directory. If you prefer to have these files
created elsewhere (for performance or space considerations),
specify the drive and path for the preferred directory. If you
have a RAM disk on your system and specify it as the work
directory, the delay introduced by compression during archive
operations will be noticeably reduced.
53
User's Guide OffLoad
Fill in all of the required configuration options discussed above
and press the ESC key or the F10 key to indicate that you are
done. Move the highlight bar to the Exit Install option and press
ENTER.
Specifying Screen Color Preferences
If you have a color monitor (or a laptop which displays colors as
shades) you can set up the OffLoad screens to display in color
combinations which are to your particular liking. To customize
OffLoad's screen colors, move the highlight bar to the Color
Options option and press ENTER. The screen shown below will

Reset To Defaults
OffLoad is shipped with a default color scheme. You can reset any
changes to the color scheme with this option. If you have made a
series of changes and find you don't like them (or simply get
confused about what your changes will look like), it might be
quickest and easiest to reset to the default color set and begin
customizing all over again.
To modify a color scheme for a particular group (normal text,
help panels, etc.), move the highlight bar to the group and press
ENTER. Two windows will appear on the left hand side of the
screen. These are shown on the sample screen below:

lower window (Screen Type) shows the current color scheme for the
selected color group. To change a color, move the highlight bar
to the appropriate color attribute in the color attribute window
and press ENTER. A window will display on the right hand side of
the screen showing the color options. Move the highlight bar to
the desired color and press ENTER. The colors on the Screen Type
window will change to reflect the color you chose.
After you have set the desired colors, press the F10 key to
return to the OffLoad Configuration program primary menu.
Unmodified File Configuration
The Unmodified File Archival configuration option is used to
activate Offload's Unmodified File Archival option. The
Unmodified File Archival option supports automatic archival of
specific files after they haven't been changed in a specific
56
OffLoad User's Guide
period of time. There is a large number of files on the hard disk
that are read regularly, but never updated. The Unmodified File
Archiving option has been designed to give you the control you
need to ensure that you never archive these types of files. A
file will be archived by the Unmodified File Archive facility
only if:
1. the file resides in a directory you activated for
Unmodified File Archival,
2. the contents of the file have not been modified in the
number of days that you specified for the directory
when you activated it,
3. the file name has one of the 20 extensions that you
activated for the directory,
4. the file is not on the list of excluded files that you
created for that directory.
As you can see, you can exercise complete control over this
automatic archiving process.
How Unmodified File Archival Works
To implement the Unmodified File Archival option, you must first
activate one or more directories using the OffLoad Configuration
program. This sets up the directions for OffLoad to use. To
actually archive unmodified files, you must then select the
Archive Files by Date option on the OffLoad UPDATE menu. OffLoad
then scans all of the activated directories, looking for files
which can be archived. It presents you with a list of files and
allows you to remove files from the list. After you have approved
the list, OffLoad prompts you to insert the appropriate diskettes
as it copies the files. After all of the files are copied out,
OffLoad will delete the files from the hard disk, if you have
selected this option in your preferences.
Activating a Directory for Unmodified File Archival
The first step in activating a directory for Unmodified File
Archival is to run the OffLoad configuration program. If you are
not currently in the OffLoad directory, change to that directory
and type OLCONFIG. Select the Auto-move Directory Setup option by
moving the highlight bar down to this option and pressing ENTER
or clicking the left button on a mouse.

its own unchanged file archival options. This gives you the
flexibility to support virtually any archive catalog scheme you
might devise. Either type in the name of an existing archive

to select from a list of existing archive catalogs. When you have
specified a catalog name, press ENTER.

Printer Driver Configuration
When you installed OffLoad, you were asked to select which models
of printers you intended to print to with OffLoad. This resulted
in a number of printer drivers being copied onto the hard disk.
For most OffLoad users, one or more of the printer drivers
supplied with OffLoad will support their printer's operation.
A printer driver is a file which contains the printer control
codes required to take advantage of some of the printer's special
capabilities. These include such things as bold type, italics,
underlining, etc. If you did not find a choice on the
installation printer selection menu for your printer, you were
instructed to select the ANYPRINT printer option. This resulted
in a printer driver being installed which does not attempt to
take advantage of any special printer capabilities.
For a few, however, a driver will have to be created or modified
to support their printer. You should only be interested in this
option if you were unable to find your printer in the list of
printers on the installation menu.
You have the option of creating your own printer driver if you
know what control codes your printer uses. The control codes that
are contained in a printer driver are:
Printer initialization
Printer reset
Bold face (on and off)
Underlining (on and off)
Double height characters (on and off)
Compressed print (on and off)
Superscript print (on and off)
6 lines per inch printing
12 lines per inch printing
In addition to these codes, you will also need to know:
The number of lines per page
62
OffLoad User's Guide
Whether the printer has manual feed
You do not need to know all of these printer codes to build your
own printer driver. Leave any blank that you do not know and you
will at least be able to take advantage of the printer
capabilities for which you do know the codes.
Creating a Printer Driver
Place the highlighted cursor bar on the option entitled Printer
Driver Configuration. To do so, either use the up and down arrow
keys to move it there, move the mouse over it and press the left
button or type the letter P. When the highlight bar is over this
option, press the ENTER key. After doing so, a window will pop up
to ask for the name of the printer driver. Specify a name of up
to eight characters in length (this name is used as the driver
file name, with the extension DRV) and press ENTER.
After doing so, a screen similar to the one shown below will
appear:

OffLoad User's Guide
Chapter 5: Operating OffLoad
This chapter discusses the general operation of OffLoad. Specific
chapters follow which cover in detail the processes of archiving
files and restoring files from an archive.
Keyboard Conventions
OffLoad uses a set of key and mouse conventions which are
consistent throughout the program. You can simplify the use of
OffLoad by getting familiar with these conventions.
Action Keys
"Action" keys perform specific functions within OffLoad. These
keys are:
ESC
(Abort)
Pressing the ESC key at any time aborts the current operation and
takes you back to the previous step.
F1
(Help)
Pressing the help key (F1) anywhere in OffLoad or the OffLoad
Configuration program brings up a context-sensitive help screen.
Pressing the help key again (while in a help screen) brings up a
list of OffLoad's action keys.
F2
(View)
Pressing the view key (F2) while the highlight bar is on a file
entry for a hard disk file lets you view the contents of the file
on the screen. This can be helpful in recalling what information
is in a particular file when making the decision whether or not
to archive it.
F5
(Mark/Unmark)
65
User's Guide OffLoad
Pressing the mark/unmark key (F5) toggles the status of the item
currently active. If the item is not currently marked, pressing
the F5 key marks it. If the item is already marked when the F5
key is pressed, the F5 key unmarks it.
F6
(Restore)
Pressing the restore key (F6) signals that you are ready to begin
restoring archived files to the hard disk. This key operates only
on the file selection screens which result from a catalog search
operation. Any files which are marked when the restore key is
pressed will be copied from the archive back to the hard disk.
INS
(Show Choices)
Pressing the insert key (INS) indicates that you want to see a
list of choices. In many of the instances where you are asked to
specify a choice, OffLoad is aware of the choices you have. It
will display the choices and let you select a choice if you press
the INS key.
For example, when you are activating a catalog, pressing the INS
key will cause a pop-up window to display showing the list of
defined catalogs. You can then select a catalog by moving the
cursor to the entry in the list and pressing ENTER or clicking a
mouse on the entry.
DEL
(Delete)
Pressing the delete key (DEL) signals that you want to delete one
or more items. There are two types of deletes, depending on the
context in which the delete key is pressed.
When OffLoad is displaying the contents of a directory on you
hard disk, the delete key signals that you want to delete one or
more files from you hard disk. You will always be prompted to
verify that you want to delete files before they are actually
deleted.
When OffLoad is displaying a list of files to be archived,
pressing the delete key signals that you want to eliminate one or
more files from the list.
F10
(Continue)
66
OffLoad User's Guide
Pressing the F10 key signals that you are ready to continue with
the current operation.
ALT-F10
(Quit OffLoad)
Pressing the ALT key and the F10 key at the same time while in
OffLoad indicates that you want to exit OffLoad immediately. A
window pops up to verify that you want to exit. You can also exit
by pressing the ESC key repeatedly until the window exit appears.
All OffLoad screens contain a list of active action keys on the
bottom line of the screen. You can use this as your guide to the
use of these action keys.
Mouse Operation
OffLoad supports the use of a mouse for many of its operations.
The left mouse button selects a highlighted item. The right
button aborts the current operation, it is the same as pressing
the ESC key. For three-button mice, the middle button has no
function.
OffLoad Catalogs
To simplify the process of locating files which have been
archived, OffLoad maintains lists of files it has archived on the
hard disk. These lists are called OffLoad catalogs. A catalog is
similar in concept to a table of contents. It contains
information about every file which has been archived to the
catalog; when the file was archived, how large the file is, when
the file was last changed before it was archived, its location on
the archive media and other pertinent information. OffLoad then
uses this catalog to speed up searches for archived files. It can
also provide a list of files which can be restored to the hard
disk.
How Many Catalogs do You Need?
You can maintain as many different OffLoad catalogs as you want.
Each catalog will contain only the files which were archived when
that catalog was active. Every OffLoad user will have his or her
own strategy for establishing catalogs and specifying which files
get archived into what archives. This is a very personal
67
User's Guide OffLoad
decision, much as is the decision of how to organize the
directories on the hard disk.
OffLoad's two methods of archiving both support archiving to
specific catalogs so you can implement virtually any catalog
scheme you want to.
Cataloging Strategies
We have identified a few cataloging strategies which seem to work
pretty well. Remember, the measure of a good or bad cataloging
scheme is how long it takes to locate a file that has been
archived. If your scheme makes it intuitive to you where to look
for an archived file, your scheme is a success.
One method calls for separating Unmodified File archiving from
manually-directed archiving. Set up only one catalog for
Unmodified File archiving and have all files which are archived
by age go to this catalog. This method works well for people who
use the manually-directed archiving techniques to remove the bulk
of the files which get archived. This way only a few stragglers
go out into this Unmodified File archive and is stays pretty
small.
Another method calls for setting up an archive for each high
level subdirectory on the hard disk (the directories directly off
of the root directory). Then as you archive files manually or via
Unmodified File archival, you put them into the archive which
corresponds with the high-level directory under which the file
resides. This method works well unless you make frequent
re-organizations of the hard disk directory setup which result in
subdirectories being moved from one high-level directory to
another.
The last method which seems to work well is to divide your use of
the PC into general categories (spreadsheets, database,
presentations, etc.) and establish a catalog for each category.
You can then establish Unmodified File archiving criteria which
archive files by directory and extension into the appropriate
category. This is the tricky part. Manually-directed archival is
a cinch with this scheme.
Regardless of the scheme you implement, locating an archived file
is a simple matter with OffLoad. It is doubtful that any scheme
would be "wrong," so go with what makes you comfortable!

If you did not get these results, check the following:
1. Be sure that the active directory is the one in which
you installed OffLoad. If you are unsure, either type
the DOS command "PROMPT $P$G" to have the current
directory name display with the DOS prompt or issue a
69
User's Guide OffLoad
DIR command and check to make sure that the file
OFFLOAD.EXE is in the directory list
2. You need a minimum amount of available memory to be
able to run OffLoad. If you do not have enough memory
available, you will see the message shown below:
Program too big to fit into memory
If this happens, you will need to increase the amount of
available memory for OffLoad. You can do this be removing TSR
programs (e.g. Sidekick, print spoolers) or removing unnecessary
device drivers.
Activating a Catalog
After you have OffLoad up and running, the first thing you want
to do is activate a catalog. You will notice that the
Activate/Create Catalog menu option is already activated. Press
ENTER and:
1. type in the name of a new catalog,
2. type in the name of an existing catalog, or
3. press the insert key (INS) and choose a catalog from a
list of existing catalogs.
Note that after a catalog is activated, its name shows in the
heading of the OffLoad screen, along with the number of diskettes
and number of files in the archive catalog.
At this point, you are ready to perform any of OffLoad's archive,
restore and reporting functions.
70
OffLoad User's Guide
Primary Menu Options
The OffLoad primary option menu contains three menu items;
Catalog, Update and Display/Restore. Each of these menu items has
a drop-down menu associated with it which contains further
options. The drop-down menu can be activated by pressing ENTER
while the highlight block is on the desired menu item. You can
also activate a drop-down menu by clicking on one of the primary
menu items with the left button of a mouse.
Catalog Option
The Catalog option is used to maintain the active OffLoad
catalog. Its drop-down menu offers options to activate a catalog,
save changes made to a catalog, create a backup of a catalog on
archival diskette and restore an on-line catalog from a diskette
backup version. Also included in the Catalog drop-down menu is
the option to exit OffLoad.
Activate/Create Catalog Option
The Activate/Create Catalog option is used to activate an OffLoad
catalog. If the catalog exists, its current contents are loaded
into memory and the catalog is available for additional
archiving, file searches, restoring files and printing reports.
If a new catalog name is specified, it will be created by
OffLoad.
Activating an OffLoad catalog was discussed earlier in this
chapter.
Save Current Catalog Option
When an OffLoad catalog is activated, it is loaded into memory.
Any catalog maintenance which is performed on the catalog results
in changes only to the active catalog in memory, not the copy of
the catalog located on the hard disk. The Save Current Catalog
option causes OffLoad to save the current, active catalog to
disk.
Refer to chapter 8 of this manual for more information on catalog
maintenance.
Backup Catalog Option
71
User's Guide OffLoad
In addition to the active catalog in memory and the copy of the
catalog on the hard disk, OffLoad also writes a backup of the
active catalog on the last archive diskette in the catalog. Every
time files are added to an archive this backup catalog is
updated. If you make catalog maintenance changes to the active
catalog and want to have a fail-safe backup of the changes on the
archive diskettes, use the Backup Catalog option.
Refer to chapter 8 of this manual for more information on catalog
maintenance.
Restore Catalog Option
As a fail-safe against hard disk errors, OffLoad keeps a copy of
the archive catalog on the last archive diskette in each catalog.
Every time new files are added to the archive, the updated
catalog is written out to the last diskette again. This ensures
that you have a good backup copy of the catalog in the event of a
loss or corruption of the hard disk copy of the catalog.
If you find that the hard disk catalog is either lost or damaged,
you can use this option to copy the most recent backup copy from
the archive diskette to the hard disk. Any changes made to the
catalog since the last archival of files which were not
explicitly backed up with the Backup Catalog option will not be
recoverable.
Refer to chapter 8 of this manual for more information on catalog
maintenance.
Delete Catalog Option
Occasionally, you may want to delete an archive catalog. Doing so
causes only the hard-disk catalog to be deleted; the fail-safe
copy which is maintained on the last archive diskette of the
catalog will remain viable and could be used to restore the
catalog later, if needed. To delete a catalog, select this option
and specify the name of the catalog on the window which pops up.
Quit Offload Option
There are two ways to exit OffLoad. You can either press the ESC
key repeatedly until the Exit OffLoad pop-up window appears or
you can choose the Quit Offload option on the Catalog menu.
Either way, you will be prompted to save any catalog changes you
(if you made any) before exiting.
UPDATE Option
72
OffLoad User's Guide
The Update option is used to archive files, update an archive
catalog's contents and make temporary changes to some of the
OffLoad configuration options.
Manual Archive Option
The Manual Archive option is used to select files from the hard
disk and archive them to diskette media. It is also referred to
as interactive archiving in this manual. The use of this option
is discussed in detail in Chapter 6 of this manual.
Archive Files by Date Option
The Archive Files by Date option is used to archive files which
have not been changed for a specific period of time. Its use is
discussed in detail in Chapter 6 of this manual.
Archive Files (Scheduled) Option
The Archive Files (Scheduled) option is used to archive files
which have been scheduled for archival via the OffLoad SCHEDULE
command and whose archive date is the same or earlier than the
current date. Its use is discussed in detail in Chapter 6 of this
manual.
Edit File Keywords Option
The Edit File Keywords option is used to assign or update
keywords to archived files. These keywords are used in
keyword-based file searches for locating files in an archive
catalog.
Refer to Chapter 8 for more discussion on assigning keywords to
archived files.
Mark Files Inactive Option
The Mark Files Inactive option is used to eliminate obsolete
archived files from OffLoad catalog displays. Refer to Chapter 8
for more discussion on inactivating archived files.
Update Catalog Description Option
You can type in a description for each OffLoad catalog you
create. This description is for informational purposes only and
shows up on a number of the Offload screens.
Refer to Chapter 8 for more discussion on updating a catalog's
73
User's Guide OffLoad
description.
Configuration Option
OffLoad operates from a set of configuration and preference items
that you specify with the OffLoad configuration program. These
configuration and preference items are stored in a file on the
hard disk and are accessed every time you start OffLoad.
There may be times when you want to override one of the
preference items temporarily without having to change the
permanent configuration options. For example, you may want to
archive a few files and not have them deleted from the hard disk.
Or possibly, you want to restore a file and have it placed in a
location on the hard disk other than what the configuration
normally calls for.
In support of this need, OffLoad allows you to change some of its
preference items on a temporary basis. These changes only apply
until you change them again or exit OffLoad. The following
preference items can be temporarily modified:
which diskette drive to use for archive and restore
operations
which compression type to use (favors speed, size or no
compression)
whether OffLoad should automatically delete archived files
whether to restore files to their original directory or
prompt for an alternate
which order to display the files in a directory.
Refer to Chapter 4 for more information about making permanent
configuration changes.
Display/Restore Option
The Display/Restore option is used to display the status and
contents of an archive catalog, print reports showing the
contents of an archive catalog and restore archived files to the
hard disk.
It has five options.
Catalog Status Option
74
OffLoad User's Guide
This option is used to display a summary screen showing various

OffLoad User's Guide
Chapter 6: Archiving Files
There are three methods for archiving files with OffLoad. They
are:
Interactive Archiving
You can interactively select files for archival using OffLoad's
directory display ("point-and-shoot") approach. OffLoad shows you
a list of files, you select the file(s) to be archived and
OffLoad handles the rest.
Unmodified File Archiving
You can instruct OffLoad to archive files which have not been
changed in a specific period of time. You activate this option
one directory at a time and limit its activity to specific file
extension(s). Unmodified files are removed automatically after
they age the correct amount of time.
Scheduled Archiving
OffLoad includes two DOS commands for scheduling files for
archival. You schedule the archive with the DOS command and then
actually move it off the hard disk at some later time when it is
convenient.
These three methods combine to provide you with a powerful system
for maximizing the use of your hard disk(s). In this chapter, the
use of each of these archival methods will be illustrated.
Chapter 7 discusses how to restore a file that has been archived
back to the hard disk.
77
User's Guide OffLoad
Interactive Archival
The simplest method for archiving a few files is the
manually-directed archival procedure. It is a "point-and-shoot"
approach which makes it very simple to identify files and cause
them to be archived.
With this approach, you run OffLoad, display a list of
directories on a hard disk, display the files in a directory (one
directory at a time) and mark files to be archived. When you have
marked all of the files you want to archive, you start the actual
archival procedure, feed OffLoad the diskettes it requires to
hold all of the archived files, write up a few diskette labels
and you are done.
Starting an Interactive Archiving Procedure
To begin an interactive archiving process, you first must start
OffLoad and activate the archive catalog you want to archive
files into. Refer to Chapter 5 of this manual for more
information about starting OffLoad and activating a catalog.
After you have activated a catalog (note that the catalog name
now shows in the top box on the screen), you are ready to begin
an interactive archiving operation. Use the right arrow key to
move to the UPDATE option on the OffLoad primary menu and press
ENTER. Place the highlight bar on the Archive Files (Manual)
option and press ENTER.
An interactive archiving procedure consists of viewing a visual
diagram of your hard disk organization (directories and
subdirectories) and moving from directory to directory, selecting
files for archival. All of the files you select will be archived
into the active archive catalog.
First, you will be prompted for a drive letter to search for
files to archive. If you want to search a drive other than the
one specified by default, backspace over the existing drive
letter, type in the desired drive letter and press ENTER.
Select Subdirectories
After you press ENTER, a visual display of the directory
structure on the selected drive will be displayed on the left
third of the screen. Subdirectories of directories are indented
78
OffLoad User's Guide
in the display to show the relationships between the different
directories on the hard disk. This display is sometimes referred
to as a directory tree. A sample screen is shown below:

You can display a list of files in any subdirectory on the hard
disk by moving the highlight bar to the desired directory name
and pressing ENTER. The up and down arrow keys will move the
highlight bar up and down one line on the directory display. PgDn
will first move the highlight bar to the last directory line on
the screen. Subsequent PgDns will scroll the directory list, one
screen worth at a time. PgUp works oppositely; the first PgUp
moves the highlight bar to the top directory on the screen.
Subsequent PgUps scroll up the directory list, one screen worth

Second, a list of files in the
directory will appear on the right two-thirds of the screen,
sorted in the order you specified (or defaulted to) in OffLoad
configuration. You can select files for archive from this list. A

Select Files
The highlight bar on the files window shows which file will be
affected by pressing a function key. To mark a file for archival,
press the F5 function key while the highlight bar is on the
desired file name. The F5 key acts as a "toggle" so you can
unmark a file which was previously marked by placing the
highlight bar on the file and pressing F5. A marked file displays
in a different color than an unmarked file and if the highlight
bar is placed on a marked file, the file entry will be flashing.

Either way, a confirmation screen will pop
up whenever you press the DEL key to make sure that you mean to
delete the file(s).
If you are uncertain about what is in a file, you can move the
highlight bar to the file entry and press the view (F2) key.
OffLoad will display the contents of the file on the screen. If
the file contains binary data, the screen will appear as
gibberish.
As you mark files for archival, a box on the lower right side of
the screen is updated to show the number of files and bytes
scheduled for archival. This helps you keep track of the size of
the archival process you are creating.
If you have marked files but wish to abort without saving any
file markings for this subdirectory, press the ESC key.
After you have marked all files that you want archived, press
ENTER. The file window will go away and the highlight bar in the
subdirectory window will be active. You can either go on to other
directories to mark other files, or, if you are done marking
files for archival, simply press the ESC key.
Review List of Selected Files
After you have pressed ESC, the screen will clear and you will be
presented with the list of files you selected for archival. A

At this point, you get one more chance to review the list of
files and remove any from the list that you don't want archived.
To remove a file from the list, place the highlight bar on the
file entry and press the DEL (delete) key. If you want to remove
more than one file from the list, you can mark each file with the
F5 key as you do when marking files for archive. Then press the
DEL key when all are marked. This will remove the marked files
from the list.
When the list of archive files is satisfactory, press ENTER to
begin the archival operation.
Start Archiving Operation
The screen will clear and you will be prompted to insert the
active archival diskette for the catalog you activated earlier.
This may be a new diskette if the catalog is new, or an existing
catalog diskette if you have archived files to this catalog in
the past. Insert the diskette which has been requested and press
ENTER.
82
OffLoad User's Guide
Unless compression was disabled in your configuration, OffLoad
will work through the list of files, compressing each file
(except ARC, LZH, ZIP and PAK files) and copying it to the
archive diskette. You may be prompted to insert one or more new
diskettes, depending on the size and quantity of files you are
archiving. OffLoad's compression facility reduces the size of
each file as it is copied to the diskette so you can fit more
data on a diskette than you might expect. A frequently updated
count of the amount of space remaining on the diskette is shown
on the lower right hand portion of the screen during the archive
process.
Delete archived files?
When all of the files have been copied to archive, OffLoad checks
the configuration to see if you requested that files be deleted
automatically from the hard disk after they have been archived.
Take a minute to stop and prepare labels for the archive
diskette(s). On each label you should, at a minimum, write the
name of the archive and the diskette number for that archive. In
addition, you might want to write in the current date. There is
no need to write anything about which files are archived on the
floppy because OffLoad's file search capability does a great job
of helping you locate files in the archives. It is faster and
more accurate than any external labels you might try to maintain.
83
User's Guide OffLoad
Unmodified File Archival
The second method OffLoad provides for archiving files is the
automatic archival of files after they have gone unmodified for a
specific time period. Every time a file is changed, its date and
time is automatically updated by the operating system (DOS). You
can use this information to cause files which are not modified
for a specified period of time to be archived from the hard disk
to archive media.
Many files on your hard disk are read every day by application
software but are not changed. Therefore, it is important that you
control the process of selecting which types of files are
candidates for unmodified file archival. Examples of the types of
files you do not want under unmodified file archival control are
executable (EXE) files, help files, overlays, etc. Unmodified
file archival is really intended to be used on files which are
created by you in the day-to-day use of your PC. Word processing
files, spreadsheets, reports, graphic images, etc. are the types
of files which should be under OffLoad unmodified file archival
control. OffLoad will not perform any unmodified file archival
until you have activated it by creating specific archival
criteria in the OffLoad configuration program.
You use the OffLoad configuration program to activate unmodified
file archival. You activate it one directory at a time. Within a
directory, you activate specific file extensions for unmodified
file archival, specify an aging factor for the entire directory
and optionally specify a list of files to be excluded from the
Unmodified File archive process.
Activating Unmodified File Archival
The first step in activating unmodified file archival is to run
the OffLoad configuration program. If you are currently in
OffLoad, press the ESC command until a pop-up window appears
asking if you want to exit OffLoad. Press ENTER. If you are not
currently in the OffLoad directory, change to that directory and
type the following command:
olconfig [enter]
Move the highlight bar down to the AutoMove Directory Setup
option and press ENTER.
84
OffLoad User's Guide
You will be prompted for a catalog name. Each catalog can have
its own unmodified file archival options. This gives you the
flexibility to support virtually any archive catalog scheme you
might devise. Either type in the name of an existing archive
catalog, the name of a new catalog or press the INS (insert) key
to select from a list of existing archive catalogs. When you have
specified the catalog name, press ENTER.
A window will pop up showing the list of subdirectories which
have already been activated for unmodified file archival in this
catalog. Press the INS (insert) key to add a new directory to the
list or place the highlight bar on an existing directory and
press the ENTER key to review/modify the specifications for that
directory. If you are adding a directory, you will be prompted
for the drive letter of the drive from which you wish to select
directories. Specify the drive letter and press ENTER. You will
be presented with a directory list very similar to the one used
to interactively select files for archival. You can mark one or
more directories to be activated with the F5 key. Move the
highlight bar to the desired directory or directories and press
F5. As before, the F5 key is a "toggle" so pressing F5 on a
marked subdirectory unmarks it. When you have marked all of the
directories you want to activate, press ENTER.
A pop-up window similar to the one shown below will appear:

extension matches one of the activated extensions will be
candidates for unmodified file archival. You can type in the
extension(s) you want to activate or press the INS key to see a
list of file extensions currently in this subdirectory. You can
activate up to nine file extensions per subdirectory.
You can, optionally, exclude up to 40 different files in each
directory from unmodified file archival. As with activating file
extensions, if you place the cursor in an empty excluded file
field, press ENTER (to get a blinking cursor) and then press the
insert (INS) key, you will be able to choose from a list of files
in the directory.
86
OffLoad User's Guide
Any files with an extension which matches one you have activated
and which haven't been changed in the number of days you
specified will automatically be archived the next time you run an
unmodified file archive operation for this catalog.
After you have activated the file extensions that you want to,
press ESC twice to return to the main OffLoad configuration menu.
Choose the Exit OLCONFIG option to return to DOS.
Initiating an Unmodified File Archival
To perform an Unmodified File archival, you will have to start
OffLoad again. After doing so, activate the catalog for which you
just defined Unmodified File archiving criteria and select the
Archive Files by Date option on the UPDATE menu choice. OffLoad
will check all directories which have been activated for
unmodified file archival to see if any files are ready to be
archived.
If any files qualify for unmodified file archival, they will be
shown on a screen similar to the one below:. If no files qualify
for archival, you will return to the OffLoad menu.

You should review the list of files to be sure that they can all
be archived. You can remove files from the archive list in the
same way you did with the interactive archive operation. For
single files, move the highlight bar to the file name and press
the delete (DEL) key. A window will pop up to ensure that you
want to delete it from the list (this does not delete the file
from the hard disk, but simply removes it from the list of files
to be archived). To remove a group of files, mark each file
(place highlight bar on the file name and press F5) and then
press the delete (DEL) key. A window will pop up which asks
whether you want to remove all marked files before removing them
from the list.
When the list of files it correct, press ENTER and the archival
operation will begin. The process is identical to the process for
manual archiving.
Delete Archived Files?
If you have OffLoad configured to delete files from the hard disk
after archiving, a window will pop up to verify that you want
these files deleted.

Scheduled Archival
Interactive archival works well for those times when you can
spend a few minutes looking through your hard disk identifying
archival candidates and moving them to archive diskettes. There
will be times, however, when you will want to be able to flag a
file for archiving while you are thinking of it and worry about
actually archiving it to diskette later. You won't want to take
the time to go through the process of starting OffLoad, locating
the file and archiving it right then.
For this reason, OffLoad includes two DOS commands which can be
used to schedule a file for archival, either the next time you
run OffLoad or at some date in the future. These commands can be
issued at any time from the DOS command prompt. These commands
build a list of scheduled archive files which is then accessed
later from within OffLoad. Every time you run SCHEDULE or
ANALYZE, they append any files you schedule for archival to the
existing schedule, if any. There are two steps to archiving files
with this process:
1. schedule files for archival with the SCHEDULE or
ANALYZE commands; and
2. archive the files (possibly at some later date) with
the Archive Files (Scheduled) option in OffLoad.
The SCHEDULE and ANALYZE commands can be issued at any DOS prompt
to schedule a file for archival. To use these commands, you must
have installed OffLoad in a directory in your path or have added
the OffLoad directory to your path.
The SCHEDULE Utility
The syntax of the SCHEDULE command is:
SCHEDULE [-date] [catalog] [filespec]
The items in [brackets] are optional. The components of the
SCHEDULE command are shown below:
-date
You can specify a date (in MMDDYY form) on which this file
becomes eligible for archival. If you specify no date, the
90
OffLoad User's Guide
current date will be used.
catalog
You may specify the name of the catalog that the file(s) are to
be archived into. You can specify either an existing catalog or a
new catalog name. If no catalog name is specified, the files will
be scheduled for archiving into a catalog named OFFLOAD.
filespec
You can use standard DOS file specifications for specifying which
file(s) to schedule for archival. Standard DOS wildcards such as
the asterisk and question mark are supported by the SCHEDULE
command. If no file specification is specified, a fullscreen
display of the files in the current directory will display on
your screen.
If you specify any of the command line options, you must specify
at least the catalog name and filespec.
Scheduling Archives via Fullscreen Interface
If you issue the SCHEDULE command with no parameters, a
fullscreen display of the current directory will display from
which you can mark individual files for archival. A sample screen
is shown below:

Marking files for archival on this screen is very similar to the
procedure used in interactive archiving. The highlight bar shows
which file will be affected by pressing a function key. To mark a
file for archival, press the F5 function key while the highlight
bar is on the desired file name. The F5 key acts as a "toggle" so
you can unmark a file which was previously marked by placing the
highlight bar on the file and pressing F5. A marked file displays
in a different color from an unmarked file and if the highlight
bar is placed on a marked file, the file entry will be flashing.
You can mark all of the files by holding down the shift key and
pressing F5 (S-F5).
You can also delete one or more files from the hard disk with
this fullscreen interface. You can delete a single file by
pressing the DEL (delete) key while the highlight bar is on the
file entry. You can delete multiple files by marking (with F5
key) each file to be deleted and then pressing the DEL key.
Either way, a confirmation screen will pop up whenever you press
the DEL key to make sure that you mean to delete the file(s).
92
OffLoad User's Guide
If you are unsure about what a file contains, you can view the
first 64K bytes of the file by placing the highlight bar on the
file name and pressing the F2 (browse) key.
After you have marked all of the files that you want archived,
press the F10 key. If you have marked files but wish to abort
without scheduling them for archival, press the ESC key. Pressing
ESC causes any schedule changes made in this session to be
discarded.
Scheduling Archives at the Command Line
If you specify a filespec and catalog name with the SCHEDULE
command, a message will be displayed on the screen for each file
which is scheduled for archival.
The following are sample SCHEDULE commands:
C:>> SCHEDULE WP *.LTR
This command requests that all files with the extension LTR be
scheduled for archival on the current date. The next time this
user executes OffLoad, a message will display at start-up
indicating that files are scheduled for archival. The user can,
at that time, run the OffLoad procedure for archiving scheduled
files to diskette, or wait and do it at some other time, if
desired.
C:>> SCHEDULE -041591 WP *.LTR
In this example, the same files were scheduled for archival. The
difference is that they will not show up in OffLoad as ready to
archive until OffLoad is first executed on or after April 15,
1991.
Modifying the Archive Schedule
At any point, until a scheduled file is actually archived to
diskette, you can remove it from the list of scheduled files. The
DISPLAY/RESTORE menu in OffLoad has an option (Schedule File)
where you can display the list of files scheduled for archival,
remove files from the list or modify a file's archival catalog or
archival date. To remove a file from the schedule, move the
highlight bar to the file name and press the DEL key. To remove a
group of files, mark the files with the mark (F5) key and press
the DEL key. To modify the catalog and/or archive date for a
file, move the highlight bar to the file name and press ENTER. A
93
User's Guide OffLoad
window will pop up asking for the catalog name. Type in a new
catalog name (or press INS and select from a list of catalogs)
and press ENTER to assign the file to a new catalog. Press ENTER
without typing a catalog name to leave it alone. Another window
will pop up asking for the archive date. Type in a date in MMDDYY
format to change the date or press ENTER to assign the current
date. To modify the catalog and/or archive date for a group of
files, mark the files with the mark (F5) key and then follow the
procedure described above for modifying a single file's schedule
information.
The ANALYZE Utility
The ANALYZE utility lets you look at the contents of your hard
disk in a way few people ever do. It lets you view the disk's
contents by file extension (the three characters in a file name
which follow the period). This view has many uses:
It lets you identify groups of files which can be deleted or
archived (e.g. .DOC files, READ.ME files, .BAK files, etc.).
It provides valuable information for setting up your
unmodified file archival scheme. ANALYZE makes it simple to
identify the file extensions which are candidates for this
type of archival.
It displays a list of all files with a particular extension
so you can easily identify any files which need to be
excluded from unmodified file archival.
The syntax of the ANALYZE command is:

Scheduling files for archiving works the same as with the
SCHEDULE command. To schedule a single file to be archived, move
the highlight bar to the file name and press ENTER. Next you will
be prompted to specify the name of the catalog to archive the
file into. Specify the name of a new or existing catalog and
press ENTER. A final window will pop up where you can optionally
specify a date on which the file should be archived. If you
specify no date, the current date is assumed. You can specify a
date in MMDDYY format, if desired. If you specify a date which is
in the future, OffLoad will wait until that date arrives before
prompting you to archive the files.
To archive a group of files, first mark each file with the mark
key. The mark (F5) key acts as a mark/unmark toggle. Pressing the
mark key once "marks" the file, pressing it again "unmarks" it.
After you have marked all of the files, press ENTER and follow
the directions discussed above.
If you are unsure of the contents of a file, you can move the
highlight bar to the file name and press the browse (F2) key. The
browse key lets you view the first 64K bytes of any file.

User's Guide OffLoad
If you want to delete a file from the disk, move the highlight
bar to the file name and press the DEL key. The DEL key can be
used to delete a single file or a group of files which have been
"marked."
If you schedule any files for archiving, you have two choices
when you are ready to exit the file list screen:
1. press ESC to save these schedule specifications and
exit to DOS;
2. press F7 to abort and throw away any scheduling changes
you made on this screen.
If you see any file extension that you do not want to see in
future ANALYZE sessions. move the highlight bar to the extension
and press the DEL key. This will tell Analyze to exclude the
extension in future ANALYZE sessions. You can exclude the
extension only when analyzing this drive (if you have more than
one drive) or can exclude it for all drives.
Editing the Exclusion List
When you tell Analyze to exclude a file extension, the extension
is added to the Excluded Extension List. The Edit Exclude List
option on the ANALYZE initial menu lets you delete extensions
which have been added to the list. To delete an extension, move
the highlight bar to the extension and press the DEL key.

Chapter 7: Restoring Archived Files
OffLoad makes it extremely simple for you to move files off of
your hard disk on to archive media. It has an equally simple
method for restoring one or more archived files back to the hard
disk.
The Restoration Process
The archive file restoration process consists of five steps.
1. Activate an archive catalog. Refer to chapter 4 for
instructions on how to activate a catalog.
2. Use one of the three search options in the
DISPLAY/RESTORE menu (file name, archive date and
keywords) to display a list of some or all of the files
in the archive catalog.
3. Mark any and all of the files which you want to restore
with the mark (F5) key.
4. Press the restore (F6) key to view the list of files
marked for restoration.
5. Review the list of marked files and remove files from
this list, if desired.
6. Press ENTER to start the restore process.
OffLoad will request that you load each diskette, in turn, which
has data to be restored.
Searching a Catalog for Files
After you have activated the appropriate catalog, you are ready
to locate and mark the file(s) to be restored. There are three
ways to search for a file. You can search by file name using
standard DOS filespec conventions including the asterisk and
question mark wild cards. You can search for files archived on a
specific date or within a range of dates and you can search for
files which you assigned a specific keyword in the past.
Each of these search options can be accessed via the
Display/Restore option on the OffLoad main menu.
99
User's Guide OffLoad
Searching By File Name
To search for a file by file name, activate the Display/Restore
menu, move the highlight bar to the Search by File Name
option.and either press ENTER or click the left mouse button.
A pop-up window will ask you to specify a filespec (file name or
file name pattern). Type in a file name or a filespec and press
ENTER.If you simply want to display all of the files in the
catalog, just press ENTER without entering anything.
After specifying the file specification, if any, and pressing
ENTER, the catalog contents screen will display, listing all
files in the catalog which match the file name or filespec
criteria you specified. The use of this screen is discussed later
in this chapter.
Searching By Archive Date
To search for a file by archive date, activate the
Display/Restore menu, move the highlight bar to the Search by
Archive Date option and either press ENTER or click the left
mouse button.
A pop-up window will ask you to specify a beginning date for the
search in the form MMDDYY. Type in the earliest date of the data
range and press ENTER. A second window will pop up to specify the
ending date of the date range. If you want to search a specific
day, enter the same date as you specified for the beginning date.
Otherwise enter the last date of the date range and press ENTER.
After specifying the date range the catalog contents screen will
display, listing all files which were archived into the catalog
on or after the beginning date and on or before the ending date
you specified. The use of this screen is discussed later in this
chapter.
Searching By Keyword
To search for a file by keyword, activate the Display/Restore
menu, move the highlight bar to the Search by Keyword option.and
either press ENTER or click the left mouse button.
A pop-up window will ask you to specify a keyword string to
search for. If you type in more than one keyword, separate them
by one blank space. A multiple keyword search will only match
entries with the same keywords specified in the same order. It is
usually safer to enter a single keyword and view a larger list,
unless you know for sure how the keywords were assigned. Type in
100
OffLoad User's Guide
the keyword(s) and press ENTER.If you want to display all of the
files in the catalog, just press ENTER without entering any
keywords.
The catalog contents screen will display, listing all files in
the catalog which match the keyword(s) you specified. The use of
this screen is discussed in the next section.
The Catalog Contents Screen
The catalog contents screen displays all files in the active
catalog which have met any search criteria which were specified
(file name, archive date or keyword). A sample Catalog Contents

It also displays the following information about each file listed
on the screen:
File Name The name of the file
Length The size of the file on the hard disk when it
was archived
Size The size of the file on the archive diskette.
Due to OffLoad's compression techniques, this
size is usually smaller than the file's
length.
Updated The date and time the file was last updated
on the hard disk
Archived The date and time the file was archived.
Displaying Extended File Information
If you move the highlight bar over a file name and press ENTER or
click the left mouse button, OffLoad will display additional
information about the file. This information includes:
the full file name (including path)
which archive diskette the files in located on
whether or not the file is a valid general purpose archive
file
keywords assigned to the file.
Displaying a General Purpose Archive File's Catalog
If the file is one of the general purpose archive (GPA) files
(ZIP, PAK, LZH or ARC), you can press ENTER or click the left
mouse button while in the extended information screen and OffLoad
will display the GPA file's catalog.

Selecting File(s) for Restore
To mark a file for restoration, move the highlight bar down to
the file name and press the F5 (mark) key. As with the other
marking operations in OffLoad, the mark key is a toggle. An
unmarked file will be marked if you place the highlight bar on
the file name and press F5. A marked file would be "unmarked" by
the same operation.
When you have marked all of the files you want to restore to the
hard disk, press the F6 (restore) key. A list of marked files
will display and you have the option to remove files from this
list in the same manner as you would remove files from a list of
archive candidates. Place the highlight bar on a file name and
press the delete (DEL) key to remove an individual file or mark a
group of files and press the delete (DEL) key to remove the
group.
Initiating the Restoration Process
To start the restore process, press ENTER. What happens next
depends on whether you configured OffLoad to always restore to
the original directory from which the file was archived. If not,
you will be prompted to choose between restoring to the original
directory or manually selecting a directory to receive the files.
If you choose to manually select a directory, a directory tree
will be displayed and you can move the highlight bar to the
appropriate directory and press ENTER. All of the files you
selected to restore will then be restored to this directory. If
you choose to restore the file(s) to their original directory,
OffLoad will create the directories, if required, and restore
them to that location.
If you attempt to restore a file with the same name as an
existing file, a warning window will pop up and you can either
abort the restore process for that file or overwrite the existing
file.
OffLoad will prompt you to load any archive diskettes required to
complete the file restorations. The files will remain untouched
in the archive catalog and on the archive diskettes.

Chapter 8: Archive Catalog Maintenance
OffLoad maintains a series of files on your hard disk for each
OffLoad catalog that you define and activate. These files contain
information about the status and contents of each catalog.
OffLoad maintains these catalog files on your hard disk to speed
up file searches and archive operations. The collection of files
which maintain information about a specific catalog will be
referred to as an online catalog.
The online catalog contains the following information about each
OffLoad catalog:
a 30-character description of the catalog
the number of files and diskettes in the catalog
the date and time the catalog was originally created
the date and time the catalog was last updated
a list of all of the files in the catalog
a list of all files in general-purpose archive files in the
catalog
Any keywords you have assigned to files
As a fail-safe measure, OffLoad puts a copy of the on-line
catalog on the back end of the last archive diskette every time
you archive additional files to a catalog. In the event that the
on-line catalog is damaged, it can be restored from the copy on
the archive diskette.
A number of facilities are offered in OffLoad for maintaining the
contents of the on-line catalogs. These facilities will be
discussed below.
Displaying Catalog Status
To display the status of the active OffLoad catalog, select the
Catalog Status option on the OffLoad Display/Restore Menu. A
screen similar to the one shown below will display. Note that you
must have activated a catalog before doing this or an error
message will display. Refer to Chapter 5 of this manual for more
information about activating a catalog.

Editing File Keywords
You have the option of assigning one or more keywords to a file
in an archive catalog, anytime after the file has been archived.
You can also review and update these keywords at any time.
Purpose of Keywords
The longer you use OffLoad, the more files you will have in
OffLoad archive catalogs. As the size of your catalogs grow, so
will the task of locating these files in the future. The purpose
of assigning keywords to files is to simplify the job of locating
files in OffLoad catalogs.
It takes a little work on your part to assign keywords to files,
so you will probably not want to assign keywords to every file
you archive. In general, it is best to assign keywords to the
most important files in your archives and leave the rest alone.
This approach minimizes the amount of work required to assign
keywords. Also, it highlights the most important files in your
archives because they are the ones you took the time to assign
keywords. Keywords can be assigned and updated at any time using
the procedure discussed below.
Selecting Files to Keyword
Use the Edit File Keywords option on the OffLoad Update menu to
review, assign and update keywords assigned to files in the
active OffLoad catalog. Note that you must have activated a
catalog before doing this or an error message will display. Refer
to chapter 5 of this manual for more information about activating
a catalog.
You will be prompted for a filespec (e.g. *.ltr, *.*, etc.).
Entering a filespec instructs OffLoad to display all files which
match the filespec. Pressing ENTER with no filespec instructs
OffLoad to display all files in the catalog which have not been
already assigned a keyword.
A screen similar to the one shown on the following page will
display.

Specifying and Editing Keywords
You may specify up to 36 characters of keyword information for
each archived file. Whatever text you specify here will be used
for keyword search comparisons. When you later perform keyword
searches, you will specify up to 36 characters of keyword text.
If there is an exact match with the keyword text assigned to any
files, these files will be selected for display.
During a single session of OffLoad, keyword assignments are saved
in a list for you to re-use, if desired. A list of the last ten
keyword text entries you specified can be called up by simply
pressing the insert (INS) key whenever you are in the Edit File
Keywords pop-up window. You may then move the highlight bar to
the keyword text you wish to assign to the current file, press
ENTER two times and the keyword assignment will be done for you.
Saving Keyword Assignments
When you make changes to keyword assignments, you must save the
current catalog before the changes are permanently stored in the
on-line catalog on the hard disk. If you make changes and attempt
to exit OffLoad without having saved them, you will be prompted
to save the changes, if desired.
To save changes made to the active catalog, select the Save
Current Catalog option from the OffLoad Catalog Menu.
Backing Up Catalog Changes
OffLoad always maintains a backup copy of each on-line catalog on
the last diskette in the archive. This is done so you can recover
any on-line catalog which might inadvertently get damaged due to
disk failures. This backup copy is updated on the archive
diskette every time you archive a file to the catalog. Changes
made to on-line catalog between archive procedures will not be
reflected in the catalog backup unless you expressly choose to
back up the catalog.
Inactivating Archived Files
111
User's Guide OffLoad
As the size of archive catalogs grow, so does the job of
searching for files (either electronically or by eye). You can
lessen this burden, however, by inactivating obsolete files in
the archive. Unless you specify otherwise in OffLoad's
configuration program, inactive files will not show up in file
searches (and therefore in Offload reports). Inactive files
remain untouched on the archive diskette(s), they simple don't
show up in file searches unless you request them to.
Selecting Files to Inactivate
Use the Mark Inactive Files option on the OffLoad Update menu to
review the archive catalog and inactivate files. Note that you
must have activated a catalog before doing this or an error
message will display. Refer to chapter 5 of this manual for more
information about activating a catalog.
You will be prompted for a filespec (e.g. *.ltr, *.*, etc.).
Entering a filespec instructs OffLoad to display all files which
match the filespec. Pressing ENTER with no filespec instructs
OffLoad to display all files in the catalog which have not
already been inactivated.
After doing so, a screen similar to the one shown on the
following page will display.

Specifying and Editing a Catalog Description
115
User's Guide OffLoad
To change the active catalog description, type over any
information already in the pop-up window field. You may use the
insert key to insert characters, and the delete key to delete
characters in the description.
Saving Catalog Description Changes
When you make a change to active catalog description, you must
save the current catalog before the changes are permanently
stored in the on-line catalog on the hard disk. If you make
changes and attempt to exit OffLoad without having saved them,
you will be prompted to save the changes, if desired
To save changes made to the active catalog, select the Save
Current Catalog option from the OffLoad Catalog Menu.
Backing Up Catalog Changes
OffLoad always maintains a backup copy of each on-line catalog on
the last diskette in the archive. This is done so you can recover
any on-line catalog which might inadvertently get damaged due to
disk failures. This backup copy is updated on your archive
diskette every time you archive a file to the catalog. Changes
made to on-line catalog between archive procedures will not be
reflected in the catalog backup unless you expressly choose to
back the catalog up.
To backup changes made to the catalog, select the Backup Catalog
option on the OffLoad Catalog menu.

Chapter 9: Producing OffLoad Reports
You can print reports with OffLoad showing the contents of any
OffLoad catalog. The report format is very similar to that of the
screen which displays the results of a file search. The following
information is shown about each file in the report:
the file name
the size of the file before it was archived
the compressed size of the file on the archive diskette
the date the file was last updated before it was archived
the date the file was archived
the keywords assigned to the file.
Overview of Offload Printing Procedure
OffLoad reports are printed from the screens which result from a
file search operation. There are three search options which are
available on the Display/Restore primary option. You perform a
file search, review the results and, if it is to your liking,
print a report.
When you press the print (F8) key, a pop-up window will appear,
prompting you to choose between printing the report to a file or
to your printer. If you choose to print it to a file, a second
window will appear where you can specify the file name.
You will also be asked whether or not you want OffLoad to expand
the general-purpose archive files. If you answer Yes, the report
will list all of the files in any general purpose archive file
(ARC, ZIP, LZH and PAK).
If you want to display all of the files in a catalog, execute a
Search by File Name option and don't specify any file name or
file specification search criteria (just press ENTER). If you
want to report on a subset of the catalog, perform the
appropriate search (file name, archive date or keyword) and press
the print key (F8) after you have reviewed the search results and
have determined that they represent the portion of the catalog
that you want to print.

Searching a Catalog for Files
The first step in the report generation process is to locate the
file in the proper catalog. There are three ways to search for a
file. You can search by file name using standard DOS filespec
conventions including the "*" and "?" wild cards. You can search
for files archived on a specific date or within a range of dates
and you can search for files which you assigned a specific
keyword in the past.
Each of these search options can be accessed via the
Display/Restore option on the OffLoad main menu.
Searching By File Name
To search for a file by file name, activate the Display/Restore
menu, move the highlight bar to the Search by File Name option
and either press ENTER or click the left mouse button.
A pop-up window will ask you to specify a filespec (file name or
file name pattern). Type in a file name or a filespec and press
ENTER. If you simply want to display all of the files in the
catalog, just press ENTER without entering anything.
After specifying the search criteria, if any, and pressing ENTER,
the catalog contents screen will display listing all files in the
catalog which match the file name or filespec criteria you
specified. The use of this screen is discussed below.
A second pop-up window ask you to specify
the ending date of the date range. If you want to search a
specific day, enter the same date as you specified for the
beginning date. Otherwise enter the last date of the date range
and press ENTER.
119
User's Guide OffLoad
After specifying a date range the catalog contents screen will
display listing all files which were archived into the catalog on
or after the beginning date and on or before the ending date you
specified. The use of this screen is discussed below.
Searching By Keyword
To search for a file by keyword, activate the Display/Restore
menu, move the highlight bar to the Search by Keyword option.and
either press ENTER or click the left mouse button.
After doing so, a window will pop up asking you to specify a
keyword string to search for. If you type in more than one
keyword, separate them by one blank. A multiple keyword search
will only match entries with the same keywords specified in the
same order. It is usually safer to enter a single keyword and
view a larger list, unless you know for sure how the keywords
were assigned. Type in one or more keyword(s) and press ENTER. If
you want to display all of the files in the catalog, press ENTER
without entering any keywords.
The catalog contents screen will display listing all files in the
catalog which match the keyword(s) you specified. The use of this
screen is discussed in the next section.
The Catalog Contents Screen
The catalog contents screen displays all files in the active
catalog which have met any search criteria which were specified
(file name, archive date or keyword). A sample Catalog Contents
screen is shown below:

Archived The date the file was archived.
Printing a Report
When you have a search display screen in front of you which is in
line with the report you want to print, press the print key (F8).
When you do, a pop-up window will appear asking if you want to
print the report to a file on the hard disk or on your printer.
Select the desired print destination and press ENTER.
If you choose to print the report to a file, a window will pop up
where you can specify the file name. Specify any valid file name
(including drive letter and directory, if desired) and press
ENTER. If a file by that name already exists, a warning window
will appear and you can choose to write over the existing file or
change the name of the file to print to.
Another window will pop up asking whether or not you want OffLoad
to expand the general-purpose archive files. If you answer Yes,
the report will list all of the files in any general purpose
archive file (ARC, ZIP, LZH and PAK).
The reports contain the same information that is displayed on the
search display screen.
