2.0 Functions of the main dialogue box of CoMa (Overview)
After starting CoMa you will see a main dialogue box via which you
will operate the most important activities of your communication
manager. This chapter provides you with a short overview of the
functions.
Licence
The name shown here is the registered name and will be transmitted
on the first line (stampline) of every fax.
To, No
The name and number in these boxes can be entered manually by
yourself or from your personal list, it`s up to you. It will be
transmitted as an addressee on the first page of a multiple fax.
Obviously, the telephone number is where the fax will go!
Lines of text for error messages
During or before transmission your fax can be interrupted by
yourself by using the ctrl and "." keys simultaneously, during
transmission, or with the "Esc" key if connection has not yet been
made. A message line will be shown to advise which to use.
automatic receive
You can switch on/off automatic receive with this button.
Calls
This button gives access to received fax pages, calls and
data-connects for further administration. All calls received will
be logged in this window.
Jobs
A window with the list of fax jobs will be opened.
Number
This gives access to your personal number list and allows
automatic insert of these details.
Insert#
This button allows you to add name and number details to your list
for future use.
Terminal
This button activates the terminal window wich allows you to configure
your modem by sending the At commands to it.
You also need this part of CoMa if you want to work with a mailbox.
Voicemode
With this button selected the modem can go manually "off hook" and
the answering machine function is activated. CoMa will also
automatically switch to fax or data in this mode should a relevant
calling-tone be received. This button is very usefull if you want
to test the answering maschine, or you want to hear who is calling
befor talking to him.
Receive
This button is used for "manual" reception of fax or data. Once
selected the modem will go "off hook" and wait for the
calling-tone.
Poll
This button allows polling. Put in a number an klick this button.
If the remote maschine is a polling sender you get the fax(es).
Dial
You can use the modem as dialling machine with this button. Enter
a number into the field "Fax" and the modem goes "off hook" and
dials the number only. This is only possible, of course, if the
telephone is connected to the same telephone socket.
Load...
The buttons Load Text, Load Fax and Load PICT open the file-select-box and
you can load files to be sent by CoMa. For every file CoMa opens a new window
and displays the fax page at once. Send Fax You see then a dialogbox where
you can adjust the fax resolution and add a fax folder to be sent completly.
100 dpi You can switch between 100 and 200 dpi at this button, recalculation
is done automatically. Please note that in 100 dpi the fax quality is
reduced.
+ Pages in folder
This button allows a complete folder to be sent
without preview. This is especially useful if you dont want to see the fax
pages to transmit in preview-windows. A point to note, if this button is
selected not only is the folder transmitted but also any opened preview
windows as well. With the long button you can open the file-select-box and
choose the desired folder to be sent.
No Dial
This button can be used to
enable a fax or data connect to take place during an normal voice telephone
call. The modem, will go "off hook" and either receive or transmit, if the
send button is selected, without dialling taking place.
2.1 The Fax-Preview-Window
CoMa is able to display the fax pages in preview-windows. But
there are two principle problems about the number of possible
preview-windows:
1. the size of the monitor
You can only view the display at 12 % of the size on a 14"
monitor.
2. Memory space
A full 200 dpi A4 page needs 600 kB memory, therefore only 4 pages
can be displayed with 4 Mb memory. More pages will be displayed if
not all of the A4 page is used.
It does not matter if the first page is an ASCII-text (editor of
CoMa) or ASCII-data of a different editor, the second page a IMG
graphic and the third page a fax file. You can mix all pages at
leisure.
If you need to send more than 16 pages, or memory space will only
allow less preview, use the "send folder" function previously
described. Please remember that no preview will take place, also
any pages still in preview will also be transmitted.
Opening a fax preview window
To open a fax page for transmission either load a ready page via the
pull-down-menu file (Txt, Fax, IMG) or open a short text editor with the
function "New text" and enter a text or you use the buttons in the main
dialogue!
If you have loaded many fax pages already you can have the pages
sorted on the monitor. For this you will find two entries in the
pull-down-menu "window":
Stack
All fax windows will be displayed stacked on each other.
Tile
The windows are reduced and displayed like mosaic tiles next to
each other.
To activate a hidden window you can use the function keys. This
works only up to page 8 though. If more pages are opened you have
to use the pull-down-menu "windows".
Every time a fax window is activated the pull-down-menu
"Fax-Images" is accessible. You can make changes on this page with
this, as follows:
Zoom ( +, -)
As described previously, you can zoom in and out using these
buttons from the number key pad. Dependent upon the size of your
monitor this function becomes more or less useful.
With a 14" monitor it is very necessary, as a full fax page will
not be displayed without it. If you use a big screen (1152x870
pixel) with 50% zoom you can read the hole DIN A4 page.
We could give you a lot of technical jargon here, the easiest
method is just try it and suit yourself, you can though adjust the
zoom step in previously described "parameters".
Contrast (*)
By using the (*) key from the number pad you can alter the
contrast of the displayed page. You will need this in conjunction
with zoom function.
Turn (T)
This function allows you to turn a received fax page through 180
degrees. This is for those special occasions that an idiot decides
it will be fun to get you stood on your head or turning the
monitor upside down, or making you print it to read it. Just use
it and giggle.
Make Job (J)
This ctrl is used to create a time delayed fax. Once selected a
dialogue box is opened and you can make the necessary entries.
Editor (E)
This function opens CoMa½s own editor, and is useful for short fax
messages only. To save the fax page
select pull-down-menu "File" and from this "save as", from here
you can save it how and where you wish.
F?? (Fax-File)
CoMa creates a compressed file, utilising less memory.
IMG
The page will be stored in relatively low compressed ATARI-graphic
standard. The advantage; most ATARI programmes can read such a file.
A received fax can be processed and CoMa saves the page with 200
dpi.
The lower parts of this pull-down-menu enable you to provide the
fax window with a header and footer graphic.
Attention:
This function should only be used if the fax page has been created
in ASCII-text, so that the header and footer are matched to the
text correctly.
2.2 The Editor
You can call up the editor mode with the function (Ctrl + N). This
allows short fax messages to be written. These
messages can be stored as a file if required, as described
previously. Editor mode is also available via the pull-down-menu
"File" with the function "New Text" (Ctrl + N).
If you want to merge a text page with a graphic logo you must
adjust the format in the top and left margin in the dialogue box
"Images" from the pull-down-menu "parameter". Otherwise your
text and graphics may be intermixed.
It would be very helpful to yourself to create a standard page
that contains your personalised layout. This should then be saved
as DEFAULT.TXT in CoMa:SYSTEM. This page will then be called up
automatically when editor is selected.
To leave Editor, you must use the Enter key from the number pad,
and the fax page will automatically be built up. ATARI users with a
small keyboard do not have this enter key and should use the
control and return keys, or use the command from the
pull-down-menu "Fax-Image".
Textattributes
You can enhance your document with various text attributes and
wildcards. The editor uses the HTML abbreviations
<B> Shadow on, </B> Shadow off
<U> unterstrichen on </U> unterstrichen off
<I> italic on </I> italic off
If zoom factor 100 % is selected you will see only part of the
IMGure on a 14" monitor. Switch to zoom 25 or 12 % (keys "+" and
"-" from the number pad or pull-down-menu "Fax-Images") and the
page will be displayed in overview. If you want to shift the
content of the display you can do this (as in all other windows)
via the shift buttons on the right bottom corner. Even easier is
our shift system! Just keep the mouse key pressed and a small hand
will appear. As long as you keep the mouse key pressed you can
shift the IMGure in all directions.
It is dependent upon your monitor size as to how much of the page
you will see in preview. For example a 640x480 Picture point
monitor will show nearly a whole width of A4 and about half length
at 100 %. 25% will show a whole page. You can adjust zoom size
from the dialogue box "Fax", or as previously described, using the
"+" and "-" keys from the number pad.
Once you`re happy with the result you can bring the main dialogue
box forward using the F10 key to transmit. ("Send" key)
wildcards in editor
To save routine work the programme is able to place certain
information into the place requested by you. The following
wildcards are included in the editor:
<NAME1> Name 1 from number list
<NAME2> Name 2 from number list
<FAXNR> faxnumber from number list
<D> day from system date)
<M> month
<Y> year
<h> hour (from system time)
<m> minute
<s> second
<PAGES> Page number counted from the pages
to be transmitted, if only the top page is sent a Zero
<REMARK> Text from the editbox of the number list entry
<SALUTATION> Text from the editorbox opf the
number- administration
The layout of these wildcards is up to you. We have included a
suggested layout in CoMa:SYSTEM:DEFAULT.TXT, just have a look!
2.3 "Load Text", "Load FAX" and "Load IMG"
If you want to load one of these formats please use the pull-down-menus
"File" or the buttons in the main dialogue and activate the required format.
You will get a file selection box and you can enter the name and the path of
the required file.
This fax page will be displayed immediately on the monitor in a
window. CoMa opens another window for every file. If fax window 1
is opened already the next file will be loaded into fax window 2
etc.
If you activate a window which has data in it, and then load a new
file, this file will overwrite the original file in this window.
Therefore, prior to loading a new file ensure that any acitve
windows are closed, if you want to retain information in them.
Now some advice about the various formats CoMa supports:
Text
This function loads all files in ASCII format. CoMa operates a
graphic convertion after loading and you see the text in a fax
window.
Fax
This function is very useful for people who have switched from
other systems, particularly Atari. These files were stored in a
highly compressed fax format, via a driver which normally
accompanies Atari programmes. CoMa users will support this
highly compressed fax format and therefore saving you time in
having to rewrite these previously formatted messages.
IMG
Support of ATARI graphic standard IMG enables you to create
and send fax pages from nearly all programmes.
Clipboard support
You can copy the active fax page into the clipboard by pressing
simultaneously Ctrl + C key and restore with Ctrl + V key. You can copy
a graphic from the graphic programme into the active CoMa window
the same way.
Save fax pages
Some customers requested the possibility to be able to load an
incoming fax into a graphic programme and process it further. You
find the ctrl "Save as" in the pull-down-menu "file" to store
the active page either as IMG or highly compressed faxpage (F??)!
2.4 Selct button "Send Fax..."
The "Send" button is the final input stage for a fax transmission.
Once selected the modem will go "off hook", dial and automatically
negotiate connection parameters with the other side. The comment
line will show transmission speed, resolution and the other side's
ID (i.e. telephone number). There is no delay time for the fax to
be encoded and transmitted.
Any error messages to do with fax selection will appear prior to
the modem going "off hook", any transmission errors will be shown
in the comment line after transmission. You can select English or
German for these error messages in the dialogue box "CoMa"
below the firt Pull-Down-Menue sign.
CoMa has got no influence over the quantity and the quality of
transmission error messages. It only reports error messages from
the modem. Unfortunately there are quite a number of modems in
existence that do not report error messages at all.
After pressing the "Send Fax..." button you see another dialog box.
Here you can make the relevant settings for this fax transmission.
100/200 dpi
You can switch between the low resolution and the high fax resolution.
If you work with 100 dpi you spare time and telephone costs.
+Pages in Folder
With this function you can sent a hole folder with fax pages without
loading the pages into preview windows. Every opend preview window
will be sent together with the pages in the folder. For details see
next chapter
Logbook-File
After every transmission CoMa writes a logbook file.
If you want to know the transmission speed, time of transmission
etc. after a transmission you can call up the required logbook
entries with a double click on the relevant line of the calls-list
and read/print them.
Have you sent a top page you can see what header/footer you had
used and the text you had written.
More than one entry can be selected and exported into a text file
and so more than one entry can be printed together.
2.5 How to fax a complete folder
This box comes in two parts, the smaller box activates the
function and the larger box is used to select the path and folder
to be transmitted. The last folder that has been transmitted will
be shown here until a new one is selected.
Use of the "Send Folder" function
Sometimes it is necessary to send more fax pages than RAM is
available. For this to work the pages have to be in a folder. If
you use the same fax pages to be sent very often it makes sense to
create a folder for this. If you want to send such a folder select
the path and folder box, and a file selection box will appear.
Choose the required folder and exit using "Select". The name of
the selected folder will appear in the selection box.
Up to 100 pages can be contained in each folder, which must be
numbered consecutively from extension .f00 to .f99. If it is not
numbered consecutively transmission will not function correctly.
An example:
Three pages are to be sent in a folder, the file with the name "To
begin" is supposed to be the first page, "Middle" the second page
and "Final" the third page to be faxed. The file names have to be
adjusted as follows:
To begin.f00 Middle.f01 Final.f02
Do not forget what we said before about the "Send folder" button!
You always have the possibility when sending a folder to send 1 -
32 top pages together with the folder. Before calling up the
function "Send" click on the function "Editor". Enter the required
text and exit editor with the "ENTER" key. The top page will be
displayed in a window immediately. The main dialogue box is in the
background and perhaps not to be seen any more. Click on "SEND"
and the top page (or top pages) will be sent first and the folder
next. Do not forget that if you do not want anything other than
the folder transmitted all other windows must be closed or they
will be transmitted first, we have all heard of people sending
and receiving faxes that are truly embarrassing!!!
2.6 "Voicemode" and "Receive"
By clicking on one of these functions the possibility exists to
receive an incoming fax or telephone call manually. This is always
necessary if you answer the call personally and hear the
fax-calling-tone in the phone. Or you want to send a caller into
the voice-part of CoMa first to hear who is calling. Because both
buttons have different functions and uses we explain them
separately:
The "Receive"-button
You transfer the call to the modem with a click on the
Receive-button. The modem responds as if there is no voice-connect
active and a normal call comes in.
Assuming that you have activated the option "Data" under
parameter "General" as connect-type a data-connect will be tried
first. If this is unsuccessful a fax-connect will be tried. If
Fax-connect is adjusted under Connect only the fax reception will
start.
If you press the control key additionally when clicking the
Receive button a data-connect only will be tried, not a fax
connect anymore! This function is useful if somebody tries to
loggin to the mailbox with a modem that does not send a
data-calling-tone. This is the only way then to lead to success.
The "Voicemode"-button
If this button is activated the modem goes "off hook" as well but
plays the answering text and then starts the recording. The modem
works as if all three system functions are switched on, Voce, Fax
and data.
CoMa switches to the relevant mode immediately after a Fax or
data-calling tone is recognised.
If you want to know yourself sometimes who wants what from you
this function will help you. If the "right one" is on the line
just lift up the receiver of the connected telephone and press the
keys Ctrl +"." or "Esc", the modem disconnects and you can start
talking.
Tips for manual receive
The most important tip: The automatic receive of the modem has to
be switched off, otherwise the modem does as it wants to and
disregards the instructions of CoMa. You would be surprised what
can go wrong then. Therefore, make sure that the modem register is
S0=0!
The manual reception of a fax page is the easiest option if a
telephone has been connected to the modem, or to a telephone
socket. If you hear the typical sound of a fax transmission call
up CoMa and press the button "Receive".
You have to deactivate the button "automatic receive" in the main
dialogue box for manual receive, otherwise CoMa allows the modem
to go "of hook" automatically and a caller will get unwelcome
sounds. If you are unlucky they hang up before you can take over
the call with pressing Ctrl +"." or "Esc.
Another tip: Some old fax machines and modems do not send a tone
till they hear something themselves. This creates the impression
that the line is dead. In that case activate CoMa with the receive
button and the modem will take the line.
Tips for automatic receive
The same applies: The modemregister SO has to be configurated to
0, otherwise the modem answers when it wants to and not how you
would like it via CoMa.
We are giving you some tips for automatic receive if you have got
the necessary hardware.
Enter the amount of ring tones after which CoMa allows the modem
to go "off hook". If you enter a zero CoMa goes "off hook"
immediately! Make sure that the button "automatic receive" in the
main dialogue box is crossed, otherwise nothing happens.
If you start your computer via an automatic switch-on (like
WAKE_UP from us!) make sure that only the absolute necessary
system extensions and control fields are started. Test if your
computer is ready for receive after 50 seconds, because the fax
machine will disconnect after 60 seconds at the most (approx. 10
ring tones). We suggest 25 seconds (i.e. 5 ring tones).
The automatic receive is only sensible if the fax modem has got
its own telephone number or or is a voice modem. To try to work
with only one telephone line in a fax modem would frustrate many
callers because they would hear only the sound of the modem and
not your lovely voice. Fax signals (not so expensive anymore) are
not recommendable either. The fax-calling-tone is not recognised
at all times or it takes too long and the calling fax machine
disconnects.
If you work with one telephone line a voice modem ans CoMa Voice
is the desired option. The computer then works together with CoMa
Voice as an answering machine. If you stick to the appliances
recommended by us the differentiation between voice, fax and data
will work very reliably.
2.7 Fax number administration
CoMa has got a file in which the fax number and telephone numbers
are stored. You can build 16 different groups. This is very
practical for fax mailing.
Number (how to open the number list)
Click once on this button, or press the F9 key and you receive a
window in which all entered fax numbers are sorted in alphabetical
order.
With a double click on this entry you will take the name and the
fax number into the CoMa window and the faxing or telphoning can
start. If you have selected an entry which contains a telephone
number only the function "Dial" in the main dialogue box has to be
activated with a double click. If a fax number is contained CoMa
passes it on to the main dialogue box. If only the telphone number
is supposed to be used despite the fax number the entry has to be
activated with a single click. The telephone number has to be
transferred with Ctrl + D into the main dialogue box. You can also
start this process via the entry "Dial No" from the pull-down menu
"numbers".
CoMa will start dialling immediately.
This list contains an "Autolocator". After you have opened the
window you only have to type the first letter and the first entry
with the letter(s) will be activated. If you add another letter
the marking jumps to the next matching entry etc.
If you have made a mistake the key Escape (Esc) takes you back to
the beginning of the list. You can start the search again.
Insert (insert number in the list)
This button of the main dialogue box is needed if you want to
insert a new fax number into the list. Enter the name and the
faxnumber first in the relevant fields. Take care about the
correct spelling and order to make sure the entries are sorted
according to the surname:
surname <christian name! (the "smaller-than-sign" is important)
Click the button "Insert # " and the dialogue box opens and you
can enter the telephone number, if necessary, as well.
If you call up the name for a fax CoMa turns both around
automatically.
Phone Company
You have the possibility to chooose 8 prefixes for phone companys. The button
"EDIT" opens a box where you can enter the prefixes.
We have decided against automatic take over of new fax number to
avoid double entries, if you enter an unknown number yourself and
not via the list for instance.
The following functions are provided in the pull-down-menu
"numbers" which you can only open if the number list is activated
in the desktop:
Edit Entry (TAB)
You can add a remark or salutation with this function to every
entry. The remark line is indicated in the numberlist, the
salutation can be used as a wildcard in Defaultext for greetings.
New Entry
enters a new set of data in this list. The dialogue box known from
the function "Insert" opens and you can enter fax and telephone
numbers.
Groups (groups in the number list)
This button opens a dialogue box in which you can add the
activated entry to a specific group. The group association can be
ambigious. The names for the various groups can also be adjusted
in this dialogue box..
The fields "Mailbox-Password" and "Downloadpath" are used for the
mailbox function in CoMa Professional.
Serial Jobs
The marked entries for mailshot functions are selected with this
function. You have to load the fax pages to be sent before you
select this function! All faxed numbers receive the same pages
(loaded into the preview windows) i.e. the complete fax folder if
the button "send folder" has been activated. CoMa creates a
job-folder for every fax number according to the procedure of the
fax jobs.
Dial Voice No. (Ctrl D)
If you activate an entry in the number list the telephone number
is transferred via this command to the main dialogue box and only
this number will be dialled. CoMa functions as dial machine
therefore.
Load numbers (import numbers)
You can load a fax number file via this function. The actual
number file will be removed from the memory. Perhaps it makes
sense for you to split this file into different criteria.
A file in ASCII-format can be imported with this function as well.
The necessary data have to be divided by a diagonal line and be
in the following order: Name1 | faxnumber| Name 2 |
Remarks| Password | Downloadpath\ |Salutation | Number |
Voicenumber.
The number determines the group association and is calculated as
follows:
Group A = 1; group B = 2; group C = 4; group D = 8; group E = 16
etc. Should there be an entry in group A and B the numbers have to
be added, i.e. a 3 has to be entered. For group B and D a 10 (2 +
8) has to be entered into the import file.
Show All
keeps a group selection and shows all entries again
Filter (filter functions)
opens the dialogue box in which the number list can be
filtered by selecting the groups.
Set Group
Opens the above dialogue box and one or more marked
entries in the number list can be associated simultaneously to one
or more groups.
Reset groups
The group association of marked entries will be reset with this
function.
Further functions in other pull-down-menus
Find, Find same (Ctrl + "F", Ctrl + "G")
You can search for parts of entries in the number list as well.
This is very useful if you only remember part of a name. A search
can be made for Name1, Name2, fax number or an entry into the
remark line.
You call this function via the pull-down-menu
"File" and the dialogue box for entry of the search criteria
appears.
Select All (Ctrl + "A")
You can mark all entries of the number list in one go with this
ctrl from the pull-down-menu "Edit". If you have called a group
filter previously entries still left in the number window can be
marked. this way you can activate a selection of fax numbers with
one mouse click quickly.
Delete (Delete entries)
The command to delete one or more entries is found in the
pull-down-menu "Edit".
Call the number list with F9 and mark the entry to be deleted with
a single click of the mouse key. Then open the pull-down-menu
"Edit" and select the command "Delete".
2.8 The Fax-Jobs (serial fax and time delayed fax)
Electronic mail has got advantages over traditional post mail.
Unfortunately Telecom tries to use the advantage by charging high
telephone costs. It is therefore sensible to try to send fax at
"moonshine tarrif". To avoid having to sit at your computer during
unsocial hours we have provided this nice little function for you.
The job function makes time delayed faxing possible. Here some
tips about this function:
You can only define 3 fax-jobs in the standard version of CoMa. It
does not matter if you want to send the same document to all 3
addrassees (serial Jobs) or if everyone receives a different fax
(fax-job). CoMa Professional has no limitations in the number of
jobs anymore.
CoMa creates for every addressee a job-folder which contains the
pages to be transmitted and the file Sendinfo.txt.
We further differentiate between:
* serial jobs, all receive the same fax
* Fax-jobs, different documents to different fax numbers
1. Serial-Jobs
Create serial jobs in keywords:
*Load page(s) in preview-windows
*Open the number list with F12, mark fax number(s)
*in pull-down-menu "Numbers", activate function "serial jobs"
*edit dialogue box, exit with "OK".
And now in detail:
First load the page(s) to be sent. Then select the receivers in
the number administration with a click. Selection is easier if you
use the group function by filtering for one group and then call up
the function "Select All".
Now call the function "serial jobs" by having activated the number
windows in the pull-down-menu "numbers".
Enter the time and the date at which the serial fax should be
transmitted.
The button "Set 2h" simplifies the setting of the transmission
time to night tarrif from 2am. You can reduce the resolution with
the button "100 dpi" and save more money. The field "max. repeats"
sets the number of dial tries. If the connection is engaged 10
tries would be made in the illustration.
The line Remark is for entering a remark which can be read in the
window of the fax jobs. You increase the overview in your job list
this way.
The comments line of the main dialogue box shows you the number of
time delayed jobs still to be done when the job function is
activated.
2. Fax-Jobs (diff. faxes to various No.)
Very often you face the problem to send different faxes (if
possible time delayed) to different people. For this we created
the fax-jobs.
to create a personalised fax-job in key words:
*mark the faxnumber in the numberlist with a double click
*load the page(s) in the preview window
*select the ctrl "Make job" in the pull-down-menu "Fax-Image"
*edit in dialogue box "Edit Job" and exit with "OK"
en detail
When you have selected a fax number and organised the fax pages
(loaded them into the relevant preview-window) create a job with
the ctrl "Make Job" from the pull-down-menu "Fax-Image".
You will see the known dialogue box for entering the times again.
Network ability
The job administration is network capable. It does not matter
which kind of net, Mid in Atari or Appletalk in Mac, CoMa is
installed in the server and a Fax-Job will be overplayed in the
provided OUTGOING folder. CoMa checks the set time in the field
"scan jobs all xx seconds" in parameter "General" this folder
and sends the faxes at the due time.
Exit the dialogue box with "OK" and CoMa saves the fax page(s) of
these jobs in their own folder which carries the name of the
addressee. The file name receives an extension which starts with f
and is numbered from 00 to 99! CoMa adds a text file to this
folder as well which contains all necessary data for this job.
This text file has to carry the name Sendinfo.txt otherwise CoMa
cannot evaluate it.

This file can be created with a text editor as well as you can
recognise in the structure of this ASCII-text. You have to create
a folder with the matching name in the OUTGOING-folder of CoMa in
this case. The fax page to be sent belongs in there and the small
text with the information who, where , when and how often! If you
leave out REPEAT CoMa will use the number of dial tries set in
parameter "General". If you leave out the information about the
date and the time CoMa will start transmission immediately. This
would mean for the network procedure that your Sendinfo.txt for a
fax-job transmitted at once consists of only 2 lines. The fax
pages have to have as extension .f01, f02 etc. The name of the
file is not important but for better identification the origin
should be recognisable. If the Fax-Job is created with CoMa the
fax page will always receive the name COMA JOB.f01 etc.
For CoMa to be able to proceed the jobs at the given time the
computer has to be switched on and the button "send Jobs" in the
main dialogue box has to be active! Only if the jobfunction is
switched on will CoMa check the folder OUTGOING for jobs to be
done.
CoMa will indicate the number of still to be finished jobs in the
comment line when the job-function is switched on.
The administration of Jobs
The main dialogue box has got a button for the list of jobs next
to the button for the list of incoming calls. This windows opens
as well if you press key F11.
All jobs which CoMa finds in the folder OUTGOING are entered here.
You will be able to see at once which fax jobs are still to be
done and which have been sent already.
Above the entries you find the meanings of the rubrics.
If you want to check that a job has got the right document you can
see the page(s) with a double click on the entry. CoMa will open
the relevant number of fax windows and display in preview windows.
Tries
The first number indicates how many times CoMa tried to transmit.
The second number gives the amound of set dial repeats. Jobs who
have been completed successfully carry instead of the numbers the
entry "Ready".
The pull-down-menu "Jobs"
Every time you opened and activated the job list the entry "Jobs"
of the pull-down-menu in the menu panel will be made available.
You find the various commands to process the job-list in here.
Edit Entry (TAB)
After you have marked an entry in the list the command opens the
already known dialogue box to make changes in the send parameters.
Here you can still change the time, correct a remark line or
increase/reduce the send resolution.
Select ready
You can activate all entries with the status "Ready" by the
command "Select Ready". The command "Delete" from the pull-down
menu "Edit" deletes all marked entries in the list and the
associated OUTGOING folder after a safety prompt.
Reset
The command "Reset" resets the count for the unsuccessful dial
tries.
Enable, Disable
With the command "Enable" and "Disable" you can quickly switch
on/off the marked entries for the dispatch.
If you want to release this entry for fax dispatch again (execute
"enable") CoMa will enter the actual date and time. If
transmission is not supposed to be immediate you will have to set
the transmission time again with the ctrl "Edit Entry".
Clear
This ctrl from the menu "Edit" deletes all marked entries from
the list. The stored Job-folders with contents will be taken of
the hard disk as well.
2.9 The Calls-list, the administration of faxes
If you receive faxes with CoMa they will be saved in the folder
INCOMING with the relevant ID or date and time as file name.
For easy access all activities, inxcoming as well as outgoing,
will be administered in a special list which can be opened with
the button "Calls".
If you have received new faxes or calls since you last checked
this window the button will flash in the main dialogue box.
Entries you have called up already receive a tick before the entry
To ease overview and comfort further CoMa will show the name of
the sender in this list if the fax number is entered in CoMa's own
fax number administration.
The answering machine of CoMa Voice and CoMa Professional shows
you the name of the caller as well as long as the caller has got
an ISDN and the sender telephone number is entered in the number
administration. You will of course need an ISDN modem otherwise
the sender recognition can not be made.
The rubric "Units" show the needed telephone charges, but only if
you are in possession of an ISDN modem. These appliances evaluate
the charge impulse.
The logbook (receive and send report)
CoMa stores a logbook-entry which records the parameter of the
transmission in the calls list for every procedure. Everything of
importance like telephone number, time of transmission to the used
graphic logo is entered here. The text of a sent top page are
recorded here as well.
The text of the log book entry will be displayed via a double
click on a line in the calls list. CoMa uses its own editor.
You can also print this text.
The Pull-Down-Menu "Calls"
All command for administration of the calls list are in this
menu. You can only achieve the entry in this menu panel if you
have opened and activated the calls-window. Following
possibilities for manipulation are open:
Edit Entry (TAB)
call up a dialogue box to add a remark to the active entry.
Toggle Flag
sets the tick before the entry. You can identify immediate the fax
pages you have read already.
Play New (Shift F8)
This function serves the answering machine and enables to play all
new messages one after the other. The simple version of CoMa
limits the answering machine in all areas to a recording time of 7
seconds.
Further functions are filters which make the list more managable
according to your wishes. Show All
All entries are displayed. Ever entry filters the list according
to the chosen identity.
Further important functions are to be found in the rest of the
pull-down-menus.
Clear
You can delete entries which you have read/printed easily. You
find the necessary command in the pull-down-menu "Edit".
Please bear in mind that you do not only delete the advice in the
window but the fax file on the hard disk as well.
Find (Ctrl+"F"), Find Same (Ctrl+"G")
In case you have many entries in the list you can use the command
"Find", "Find Same" to find a certain entry.
2.10 "Dial Voice No.", the dial automat
This function is nearly self explanatory. You can use your modem
as dial automat. Activate the required telephone number with a
click and select the command "Dial Voice no" from the
pull-down-menu "Numbers" and your modem starts to dial. CoMa
passes on the number from the entry in the field "Telephone
number". You can start the function with the key combination Ctrl + D
as well.
The telephone has to be connected to the same telephone socket for
you to be able to take over the call.
If the connection answers you can force the modem to hang up by
pressing the keys Ctrl +"." or the Esc key. The call will then be
transferred to the connected telephone and you can start speaking.
2.11 Polling (polling of fax pages)
For this function it is best to have a modem class 2.0.
All other modems class 2 can only poll from fax appliances which
work only as polling station. In this case it is not necessary to
send a polling request to force the called fax machine into send
mode. You have to find out yourself in each case if it is a
permanent fax-sender.
You can poll fax pages from radio stations, public services etc
with this function. You can poll the actual weather chart, some
radio stations let you poll the "Top 20 list" etc. More companies
will offer this service in the future. You do not have to send
your customer advertisement fax each week but you can install a
special telephone number and interested customers can call up the
list themselves. This saves a lot of money and mountains of fax
paper.
If your modem has not got class 2.0 but has got its own command to
produce a "poll-request" (look at the instructions of your modem)
you have to enter the relevant dial command for "Polling" in
parameter "Fax".
CoMa Professional is able to reverse the service as well. You can
produce a folder with one or more fax pages (up to 100) for
polling. The path for your own "faxmailbox" is set in the field
"Send Poll" of the same dialogue box. This function must be served
by a class 2.0 modem because it has to recognise and evaluate the
"poll request" sent by the sending modem.
You can test the poll-send-function with the CoMa shareware as well. But you
can only send one page with max. 500 fax lines!
